New Path Youth and Family Services is an accredited children’s mental health agency providing a range of compassionate, innovative and accessible services for children, youth and their families throughout Simcoe County. PURPOSE OF POSTION:

The People and Culture (PC) Coordinator optimizes recruitment, on-boarding, benefit and pension administration, Human Resources Management System (HRMS) and Learning Management System (LMS) administration consistent with New Path’s Vision, Mission, and Values, Ministry guidelines and Accreditation standards.

JOB DUTIES & RESPONSIBILITIES:

Recruitment and On-boarding

  • Prepare and post inclusive job postings that attract diverse individuals for staff, student and volunteer positions.

  • Assist with screening, interviews, reference checks and offers that are free from bias and promote equity.

  • Coordinate the on-boarding process and assist the new team member and Supervisor during the first six months to foster a positive introduction to the organization and enhance retention.

  • Continuously improve recruitment and on-boarding processes and tools that are reflective of the organization’s needs and are co-developed with various stakeholders including staff, youth, families, students and volunteers.

Systems Administration

  • Administer the benefit, pension and EAP plans and platforms in collaboration with the provider. Act as a navigator and educator for staff when questions or challenges arise.

  • Act as the Super-user for the HRMS and LMS ensuring proper security access, accurate back end set up and front end user satisfaction. Assist with internal trouble shooting and escalate issues to the vendor.

  • Enter and maintain accurate employee lifecycle data into the HRMS.

  • Produce standard and ad-hoc reports as requested.

  • Plan, coordinate, test and communicate changes/updates/maintenance schedules.

  • Monitor and advise key stakeholders of changes to systems and opportunities for efficiencies and new capacities.

  • Run regular and ad-hoc HR, training, compliance and other reports to support leadership decision making and regulatory requirements.

Administrative

  • Act as the Student Placement Lead, coordinating placements and liaising with educational institutions.

  • In collaboration with the Leadership Team and Supervisors, support positive New Path experiences for staff, students and volunteers to ensure they feel safe, valued and appreciated.

  • Monitor and respond to inquiries received through the HR inbox, ensuring responsive and compassionate communication.

  • Support staff, students, and volunteers to find information and resources to help them personally and professionally.

  • Register staff for training and track completion to support organizational learning and compliance goals.

  • Collect and secure sensitive employee data in accordance with legislation. Disclose confidential information with proper consent.

  • Assist with monitoring and tracking Health & Safety inspections and workplace incidents across all locations, maintain accurate records, support follow-up on corrective actions, and report trends or compliance gaps to the People and Culture team and Joint Health and Safety Committee as required.

  • Set up and maintain paper and electronic information filing systems.

  • Administer the Benefit and Pension programs including preparation of payroll related documentation.

  • Review, verify and prepare employee data and time and attendance information in collaboration with the Finance team.

  • Prepare related payroll information in a manner conducive to ease of audit and in accordance with relevant privacy legislation.

  • Assist with various quality assurance audits to uphold Accreditation, Licensing and Financial standards related to employment files.

  • Support the review, updating, formatting, and version control of People and Culture policies and procedures, including Health and Safety.

  • Process seasonal layoffs in accordance with legislation and the collective agreement.

  • Create and maintain operating procedures documentation and resource material.

  • Understand and apply the collective agreement and agency policies.

  • Meet regularly with the PC Supervisor and participate in annual performance evaluations.

  • Provide information to management as required.

  • Participate in and/or attend various agency Committees.

General

  • Through actions, supports the Mission, Vision, Values and Strategic Plan of New Path.

  • Reviews and adheres to all Policies and Procedures, including: Administration; Finance; Client Services; Human Resources; Information Systems, and all other.

  • Adheres to employee responsibilities for Health & Safety as defined by the Occupational Health and Safety Act (OHSA) and applicable regulations.

  • Other duties as assigned.

QUALIFICATIONS:

  • Diploma in Human Resources or Business Administration with courses in Human Resources or Organizational Development.

  • Knowledge of current employment legislations and HR best practices.

  • Minimum of 3 years HR related experience.

  • CHRP is preferred.

  • Experience using BambooHR is an asset.

  • Experience in a unionized environment is an asset.

  • Commits to ongoing training to build the knowledge, awareness and skills that contribute to a creating a culturally safe environment for staff, clients and families.

  • Effective use of database and Microsoft Office systems.

  • Performs data reporting with high degree of accuracy and efficiency.

  • Ability to prioritize and organize workload.

  • Confident, articulate and professional when communicating verbally and in writing.

  • Ability to explain complex ideas to those with limited systems knowledge.

  • French language is an asset.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

  • Eligible to work on-site in office and work from home.

  • Some evening hours may be required.

  • Willingness to travel to other agency offices using personal vehicle. Must have valid driver’s license with minimum G2.

  • Prolonged periods of sitting at a desk and working on a computer.
