About the role

Your Opportunity:

Reporting to the Director, Hub Lab North, this position provides advanced, specialized assistant and administrative support to the APL Director Hub Lab North, executive office at the Edmonton Baselab (EBL). Working with a high level of independence, this position liases with internal and external healthcare clients, vendors, and employees to triage routine and complex enquiries, and escalates as appropriate to the Leadership team. The Administrative IV will be responsible to: Manage executive-level calendars. Arrange and schedule meetings, prepare and distribute meeting agendas, take meeting minutes, and track action items as required. Create, document, and maintain general correspondence, memos, spreadsheets, presentations, reports, schedules, timekeeping records, and meeting minutes accurately and efficiently. Perform effective records management (maintenance, lookup, filing, scanning, faxing, etc.) as required. Timekeeping tasks and duties, such as entering staff timesheets, managing submissions for updates to the schedule/timesheets, and overseeing overall accuracy. Staff scheduling tasks and duties, ensuring all collective agreement, department(s), and APL requirements are met. Assists with recruitment, orientation and onboarding of new employees. Submits e-Facilities requests. Assists with team event planning. Professional and ethical responsibility to protect privacy, use confidential information appropriately, and maintain the confidentiality and security of all information related to patients, staff, and the business of APL. Other duties as assigned.

Required Qualifications:

Completion of post-secondary education (e.g. course(s) in office of business administration, medical office assistant).

Additional Required Qualifications:

Excellent keyboarding skills. High level of proficiency in Microsoft Office programs and applications. Minimum 5 years relevant experience in an administrative support role in an organization of significant size & complexity. Experience with unionized environments. Demonstrates professional and effective verbal & written communication skills. Demonstrates a high standard of customer service by assessing & meeting the needs of internal & external stakeholders. Maintains a professional image & positive attitude, and promotes an inclusive, positive, & respectful work environment at all times. Preferred Qualifications:

Experience in a medical laboratory setting. Basic knowledge of Medical Terminology. Extensive computer and software skills. Experience with e-People, Acrobat, Microsoft Teams, and SharePoint within last 6 months. Extensive experience with Microsoft Office programs. Recent experience with timekeeping and scheduling activities. Excellent organizational skills. Certificates and courses in Personal Leadership, Respectful Workplace, Conflict Resolution, Change Management, & Process Improvement.
