We are accepting applications for a permanent full-time Executive Assistant to join our team. The Executive Assistant is responsible for managing the smooth and efficient operation of the Office of the Chief Administrative Officer (CAO) and provides administrative assistance to the CVRD’s human resources department.

Reporting to the CAO, the primary responsibilities of this role include:

  • Managing the executive administration function to support the activities of the CAO;

  • Coordinating, monitoring and maintaining communications and information flow between the CAO and the executive management team, as well as with the board of directors, board committee members, elected officials and senior officials of various organizations and governments;

  • Researching information from multiple sources and preparing summaries and briefing notes;

  • Organizing and coordinating submissions from the CAO’s office for the board and board committees;

  • Providing executive administrative support services to the CAO including calendar management, responding to inquiries, preparing correspondence for signature, arranging travel and accommodation, assembling information and materials for meetings, and preparing presentations;

  • Planning, organizing and scheduling all CAO meetings and attending meetings, serving as recording secretary as required;

  • Assisting with budgets, expense tracking, and contract administration;

  • Providing administrative support services as required to the board chair, board directors, Senior Manager of Human Resources and Senior Manager of Strategic Initiatives

  • Providing confidential administrative support to the human resources department including preparing postings, collecting applications, arranging interviews, preparing offer and first day letters, maintaining personnel files and updating the website;

  • Coordinating and supporting learning and development initiatives in alignment with CVRD’s Learning and Development Framework;

  • Coordinating quarterly reporting of legal activities for the board;

  • Fostering productive working relationships internally and externally with a wide variety of partners;

  • Providing information, guidance, mentorship and support to the Branch Assistants and other administrative support staff;

  • Leading and supporting the planning and organizing of corporate-wide events and other special projects.

Our ideal candidate is:

  • A strong communicator with a collaborative approach, excellent interpersonal and public relations skills;

  • Able to establish and maintain effective relationships with board and committee members, external partners, the public and other CVRD staff;

  • Courteous and tactful with the ability to effectively respond to complaints when required and resolve a variety of multi-dimensional situations with diplomacy, confidentiality and good judgment;

  • Experienced in executive office administration, working with senior executives and a board of directors, with a minimum of five years of directly related experience, preferably in local government;

  • Educated in office administration, business, public administration or another relevant discipline including a certificate or diploma at the post-secondary level (an equivalent combination of education and experience may be considered);

  • Knowledgeable in the practices and processes involved in local government office administration;

  • An advanced user of Microsoft Office Suite and related office software, SharePoint, and Adobe Acrobat, with strong keyboarding skills;

  • Accurate and efficient with strong research and writing skills;

  • Able to accommodate a flexible work schedule with occasional work outside of regular hours to attend meetings and events;

  • A certificate in local government administration and emergency management training is preferred.

A valid BC Class 5 driver’s license is required for this role. Successful candidates will be required to consent to a Canadian Criminal Record Check.

The CVRD covers an area of 2,425 square kilometres, of which 1,725 square kilometres is land (the remainder is water), and serves a population of 63,538 according to the 2011 Census.
