Position Purpose: Assists with clerical and administrative support for Learning & Engagement programs including but not limited to responding to inquiries (via phone, email, in person), coordinating bookings with external clients, entering bookings into databases, sending confirmations, and assisting with related administrative tasks to the operation of programs. This position will assist and provide support in implementing the Strategic Plan.
Core Role Responsibilities:
- Assists with clerical and administrative support for Learning & Engagement programs including, but not limited to responding to inquiries (via phone, email, in person), coordinating bookings with external clients, entering bookings into databases, sending confirmations, and assisting with related administrative tasks.
- Assists with maintaining accurate records/statistics for Learning & Engagement programs and report writing.
- Assists in ensuring the smooth operation of programs and comfort and care of participants by communicating daily/regularly with the staff involved in program delivery, as well as other internal departments.
- Assists in setting up program spaces and ordering/picking up supplies as required.
- Assists in the coordination of new programs or projects as required.
- Assists with developing rotating staff schedules.
- Liaises with Learning & Engagement Coordinator regarding any special requests for behind-the-scenes, Zoomobile, enrichments, etc.
- Assists with ensuring Zoo Camp T-shirts are counted and distributed in an organized and accurate manner. As requested, sell additional shirts to campers through the registration management system.
- Assists with processing Zoo Camp additions forms received in person (Before & After Care), charging these items through the registration management system, and providing customers with receipt.
- Assists with printing of attendance sheets and inputting of daily attendance through the registration management system.
- Confirms Zoo Camp schedules and virtual / in-person behind-the-scenes for the day with counsellors and Wildlife Care staff.
- Assists with camper check-in and sign-out and liaising with parents at Drop-Off/ by phone or virtually where required.
- Assists in program delivery as required.
- Reports to the supervisor the absence of or any defect in any equipment or protective device that they are aware of and which may endanger themselves or another staff member.
- Reports to supervisor any contravention of the Ontario Health and Safety Act.
- Ensures all accidents and hazards are reported to supervisor immediately.
- Work in a safe manner at all times in compliance with health and safety, Workplace Hazardous Material Information System (WHMIS) and Toronto Zoo policies and procedures.
- Perform all duties in compliance with industry standards including Association of Zoos and Aquariums (AZA), Occupational Health and Safety Act, legislated requirements, regulations, and recommended equipment/manufacturer’s guidelines.
- Follows all branch instructions.
- Attends appropriate training courses as required.
- Assists guests on site as needed and ensures excellent customer service.
- Works with colleagues and assists guests in a courteous and efficient manner.
- Other related duties as requested by Supervisor or their designate.
Technical Knowledge and Skills:
- Must be enrolled in post-secondary education or the equivalent amount of training and related experience.
- Knowledge of and ability to use basic office equipment and proficient with computer programs including Microsoft Office and CRM databases.
- Well-developed interpersonal skills, along with strong communications skills.
- Proven organizational ability and attention to detail.
- Ability to work independently and as part of a team to accomplish tasks.
- Capable of maintaining accurate, up to date, and comprehensive records.
- Proven writing skills to allow for the preparation of resource materials, training materials, articles / newsletters, correspondence, and concise but accurate reports.
- Knowledge of the Toronto Zoo and its exhibits an asset.
- Demonstrated awareness of and commitment to environmental practices.
- Demonstrated knowledge of plants/animals/conservation issues, and the ability to pass this information on to others is an asset.
- Standard First Aid & CPR “C” certification required.
- This position requires the incumbent to obtain and maintain a valid Police Record Check as a condition of ongoing employment at the applicable level.
- Working knowledge of Workplace Hazardous Management Information System (WHMIS) legislation, and the Ontario Occupational Health and Safety Act are an asset.
- Must be able to work weekends, shifts and holidays as scheduled.
- Must be able to deal with staff and public in a courteous and efficient manner.
- Capable of meeting the physical requirements of the position.
