We are currently recruiting for the following role in our Montreal office:
Legal Assistant, Litigation
The Role We are seeking a highly organized and proactive Litigation Legal Assistant to support our dynamic litigation team. The ideal candidate will bring strong administrative skills, attention to detail, and a passion for legal work in a fast-paced environment.
Essential Functions
- Assist with the preparation, organization, and assembly of litigation and court documents including affidavits, notices, factums, and books of authorities
- Monitoring and managing legal timelines and procedural requirements
- Act as a liaison between lawyers and internal/external stakeholders regarding file progression and related matters
- Managing the service and delivery of court documents and procedural notices
- Apply strong proofreading and editing skills to ensure accuracy, completeness, and proper formatting of all work products
- Provide administrative support for lawyers’ practices, including opening and closing files, scheduling meetings and preparing expense reports
- Organize and maintain up-to-date electronic and paper client files
- Support billing processes, expense tracking, and invoice payments in accordance with firm policies
- Exercise sound judgment and resourcefulness to independently resolve administrative issues
- Perform other duties as assigned
Qualifications
- Bilingual proficiency in French and English, both spoken and written. This role requires frequent interaction with third parties who communicate exclusively in English, as well as collaboration with colleagues across our Canadian offices, where English is the predominant language. Given that more than 50% of the responsibilities will be performed in English, a high level of proficiency in written, oral, and comprehension skills in English is essential. The candidate must also demonstrate excellent command of written and spoken French
- Completion of a Vocational Secondary School Diploma (DEP) or College Diploma (DEC) in Office Administration, with a focus on legal studies
- Three to five years’ experience as a legal assistant supporting multiple busy litigation lawyers in a large law firm preferred
- Strong knowledge of court practices and procedures (Quebec)
- Experience with Aderant (or other legal-specific billing technology) and a solid understanding of a billing lifecycle, processing expenses and payment of invoices
- Proficiency in Microsoft Office Suite and strong general computer skills
- Proven ability to manage multiple priorities and meet tight deadlines while maintaining high accuracy and attention to detail
- Exercise sound judgment and resourcefulness to independently resolve administrative issues
- Demonstrated professionalism, discretion, and a client-focused approach
- Strong interpersonal skills with the ability to communicate clearly and effectively with colleagues, clients, and external stakeholders
- Ability to work independently and collaboratively within a team environment
