Job Description

Role Overview
The Document Administrator plays a key role in supporting our risk team by managing, tracking, and processing company and project documentation. This position helps ensure consistency, compliance, and alignment with company policies and procedures.

Key Responsibilities

  • Review vendor enrollment documentation to ensure compliance with company policies and mitigate risk
  • Collaborate with vendors to complete enrollment within two business days and assist with any questions
  • Verify and process all incoming vendor change requests
  • Partner with operations to prepare and issue subcontract agreements, ensuring proper authorization and signatures are secured
  • Track outstanding subcontract agreements and provide status updates to ensure contracts are fully executed within five days of issuance
  • Cross-train with the Compliance Administrator to support insurance and bonding processes
  • Cross-train with the Expense Administrator to support expense reimbursement and recovery processes
  • Assist with additional tasks and projects as assigned by the Supervisor or Managers

Qualifications

Qualifications & Education

  • 1–3 years of experience in document control, administration, or accounting
  • Experience in the construction industry is an asset

Preferred Qualifications

  • Exceptional attention to detail in all aspects of work
  • Strong teamwork skills with the ability to work independently when needed
  • Clear and professional communication skills with individuals at all levels of the organization
  • Ability to learn and adapt to new software and systems
  • Experience with Vista and DocuSign is an asset
  • Strong organizational and time-management skills
  • Ability to interpret and follow company policies and procedures
