Department Description:

The Office of the Registrar provides a number of services to both prospective and current students and is the primary source of information on enrolment, convocation ceremonies and important student dates and events throughout the year. The Office of the Registrar comprises of 8 departments: Student Services & Financial Support, Student Recruitment, Undergraduate Admissions, Student Records, Systems, Scheduling & Examinations, Communications and Central RO Administration and has a staff complement of approximately 100. This dynamic team works together providing assistance to students from the beginning of their time at McMaster University until they graduate.

The Central Administration team in the Office of the Registrar plays a crucial role in delivering convocation ceremonies and supporting all areas of the RO with their human resources, finance budgeting and administrative functions. This unit is responsible for a wide range of centralized functions, ensuring operations are efficient, fiscally responsible, inclusive and policy compliant. The team provides leadership, coaching, advisement, and support in the central portfolios

Description:

The Department HR Coordinator contributes to the effective delivery of core administrative services that support operational efficiency, compliance and service excellence. Responsibilities include accurately supporting department payroll, talent management, and human resources, processing and reporting transactions and data according to applicable policies, procedures and guidelines (e.g. financial and human resources).

Jointly reporting to the Associate Registrar, Strategic Initiatives and Administration and the HR Partner, the Department HR Coordinator is responsible for organizing and performing a full range of administrative duties that require a thorough understanding of established HR and finance functions, policies and procedures.

This position is responsible for ensuring compliance with, and/or advocating for continuous improvements in policies and procedures requiring core knowledge of university policies and procedures as well as relevant external legislation. The incumbent will support the HRSP, Department leadership and Departmental administrators on HR programs and initiatives where required. The role supports managers within the department to optimally support its diverse activities.

Accountabilities:

The Department HR Coordinator will provide centralized support within the department as follows:

Recruitment/Selection/Onboarding

General recruitment and onboarding support, primarily for short-term and limited-term hires. This will include coordination and facilitation of activities, meetings and documentation supporting job postings, recruitment and selection processes, general HR reporting and administration.

Administration/Service Excellence

  • Provide oversight on department’s staff time entry and approval procedures, ensuring training is provided and discrepancies are resolved bi-weekly.
  • Preparing and processing documents such as invoices, cheques, account statements and related records in accordance with established policies.
  • Identifies and implement process improvements.
  • Deals with sensitive or personal information in a confidential and professional manner.
  • Ensures effective records management
  • Documents and maintain administrative procedures and processes.

Training & Development

  • Assists in the coordination of training
  • Champions new HR initiative launches within portfolio

Health and Safety

  • Coordinates health and safety programs, advises on and monitors compliance to required health and safety training, working alone policy, emergency evacuation procedures, and incident/injury

Other

  • Build strong relationships and networks.
  • Supports broader department administrative requirements.

Qualifications:

Education: Degree or Diploma in a related field.

Experience: 3 Years HR generalist/administrative experience, preferably in a large, unionized environment.
