Reporting to the Coordinator, Student Awards and Financial Aid, the Enrolment Services Specialist is responsible for the implementation of undergraduate admissions, student awards and financial aid efforts, and guiding students through the enrolment services process.
What You’ll Do:
- Assessing applications and determining admissibility of all undergraduate applicants to the University of Regina (including the research and conversions required);
- Evaluating and determining the acceptance or rejection of applicants; advise those not yet admissible on how to gain admission;
- Assessing transcripts to determine authenticity and ensure fraudulent credentials are not accepted, enters transcript information in Banner and indexes transcripts on UR Docs;
- Maintaining and updating the various automated systems such as the letter generation module, the Banner data push jobs, and the mass emailing system;
- Processing undergraduate admissions, re-admissions and transfers in Banner;
- Scanning, uploading, matching various pieces of applications and tracking files as they move through admissions workflows in UR Docs;
- Evaluating and correcting application data in Banner, and determines and writes correspondence requesting additional documents required for processing;
- Verifying student enrolment and eligibility for awards purposes;
- Paying out awards, processing awards applications and data clean-up in Banner and the Student Awards Management System (SAMS);
- Maintain and update accurate award files, prepare materials for scholarship committees, and verify student eligibility.
- Administer provincial, federal, and U.S. student government assistance programs while ensuring compliance and providing guidance on appeals.
- Support continuous improvement by monitoring processes, submitting enrolment/registration changes, and recommending enhancements to enrolment services.
- Maintaining an ever-changing, in-depth knowledge and understanding of enrolment policies and procedures and uses this knowledge to impart accurate information
- Acting as a key resource on enrolment services policies and procedures; assists and supports the University community in the interpretation and implementation of enrolment services policies and procedures;
- Developing and sustains relationships with potential students, students, their families, outside institutions and agents as it pertains to the functions of our offices; coordinates efforts with the faculties and colleges;
- Manage student data and department records while supporting training, supervision, and mentorship of student assistants, casual staff, and new employees.
- Providing backup to front counter staff; including in-person, telephone and email inquiries;

Position Requirements
What You’ll Bring to this Position:
- Grade 12 supplemented by the successful completion of a recognized business course
- Minimum of five years related experience.
- A suitable combination of education and experience may be considered.
Skills That Will Ensure Your Success in the Role:
- Proficiency in Microsoft Office ( Word, Excel, PowerPoint and Access)
- Demonstrated in-depth knowledge, skill and experience in the application of academic policies, processes and procedures within the University of Regina, with knowledge of undergraduate awards program, university structure and student finances; or equivalent experience.
- Working knowledge of a wide array of government student aid assistance programs.
- Ability to work as part of a team, including strong communication (verbal and written) skills and the ability to deal courteously and effectively with students including domestic and international students, the general public, and co-workers.
- Excellent customer service skills, including tact and diplomacy, while displaying a positive ‘can-do’ attitude.
- Ability to make effective administrative/procedural decisions and recommendations.
- Demonstrated ability to take direction and show initiative.
- Demonstrated ability to maintain confidentiality of records and information.
- Demonstrated ability to create, compose, and edit written/electronic materials.
- Demonstrated ability to organize multiple tasks, while maintaining accuracy and attention to detail, and to analyze complex problems.
- Experience working with financial information and transactions.
- Demonstrated high level keyboarding skills.
- Experience in the use of complex database systems such as Banner student system, FAST, Caspur reports, UR Docs, SAMS, and GroupWise; or equivalent database systems experience.
Physical Demands
Entering data in an office environment is required on a daily basis for 2-3 hours at at time.
Lifting or carrying objects up to 20 lbs is required for 30 minutes to 1 hour 1-3 times a year.
Delivering information through oral words to others on a daily basis for 1-5 hours per day depending on the peak times of year.
Remaining seated in an office environment is required on a daily basis for 2-3 hours at at time.
Standing/walking/moving one’s self from the back office to the front office is required on a daily basis for a duration of 5-10 minutes approximately 5-10 times a day.
Pay Grade CUPE Phase 5 Salary Range $54,691.00 - $73,837.40 annually Status Term Work Hours
Monday – Friday, 8:00 am – 4:30 pm, with approximately 5 evening or weekend shifts required for special events per year.
