Position Summary |

The Leasing Coordinator will provide essential support to the leasing team . The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced commercial real estate environment .

Regular work hours are Monday to Friday 8: 3 0 am to 5 : 0 0 pm . The Leasing Coordinator will report directly to the Dire ctor, Leasing.

Key Responsibilities |

  • Provide comprehensive administrative support to the Leasing team, exercising discretion, confidentiality, and strong knowledge of commercial real estate terminology and internal processes

  • Monitor and track critical dates, conditions, and deliverables for active transactions

  • Maintain accurate lease files, leasing databases, and transaction tracking systems, including data entry and reporting within Excel and Yardi

  • Prepare leasing reports, presentations, and market research summaries to support decision-making

  • Update and distribute marketing materials, property listings, floor plans, and vacancy availability across platforms

  • Leverage AI-enabled tools to conduct market research, support competitive analysis, enhance reporting, and identify workflow efficiencies

  • Plan and coordinate meetings and stakeholder events, including logistics such as travel, accommodations, materials, and technology

  • Support vacancy tours by opening suites and presenting vacancy options

  • Schedule meetings, prepare agendas, record minutes, and distribute follow-up materials

  • Initiate purchase orders, process invoices, and manage monthly expense reporting

  • Manage branded merchandise inventory and coordinate tenant and broker appreciation initiatives

  • Build strong working relationships with internal teams and external stakeholders

  • Contribute to cross-functional projects and provide support across Leasing and Asset Management as required

Assist with special projects as needed

Qualifications |

  • University degree or College diploma

  • 2 - 3 years in an administration support function

  • Leasing experience preferred

  • Works extremely well under pressure with the ability to meet tight deadlines while maintaining attention to detail

  • Strict attention to detail

  • Strong proficiency in Microsoft office products i.e. Outlook, Word, Excel, SharePoint and PowerPoint

  • Strong proficiency in Adobe

  • Familiarity with commercial real estate leasing or property management is a plus

  • Ability to exercise sound business judgment and confidentiality

  • Prioritize conflicting needs, handle matters expeditiously, proactively and follow-through on projects

  • Superior proof-reading skills

  • Excellent verbal and written communication skills

  • Ability to adapt and evolve in a dynamic organization that is constantly changing

  • Have flexibility to work extra hours on occasion and sometimes on short notice

  • An organized self-starter with excellent time management and multitasking abilities

  • Honesty and integrity combined with a high level of initiative and dedication

  • A positive attitude with superior customer service and teamwork skills
