This position is eligible for a hybrid work model. When attending an event or meeting in person, your primary office location will be based out of City Hall - 426 Brant Street, Burlington Ontario. Work location is subject to change at the discretion of the City due to operational demands. Effective January 2026 this role will be required to be on site 50% of the time each month.

Position Overview

Reporting to the Director of Community Relations & Customer Experience, this role is responsible for providing professional, confidential, and executive support to the Councillor, including leadership in managing citizen inquiries (social media, phone, email), communications (correspondence, newsletters, presentations), and research. Maintains the Councillor’s calendar and budget, and liaises with city staff, constituents, stakeholders, and agencies. Supports transparency, accountability, and integrity in line with City policies.

Responsibilities

The incumbent is responsible to:

  • Position Responsibilities:
  • Provide comprehensive administrative support to Councillors, including budget preparation and monitoring, event planning, inquiry response, calendar coordination, addressing Council priorities, and arranging travel for workshops and conferences.
  • Develop and implement engagement strategies with residents, community organizations, and businesses within the assigned ward.
  • Foster strong community relationships through meetings, events, and digital platforms, including social media.
  • Act as a liaison between the community and municipal departments, ensuring residents access relevant resources and opportunities.
  • Maintain office accessibility through consistent hours, timely responses to public inquiries, and effective complaint resolution in consultation with the Councillor; manage a comprehensive contact list.
  • Attend meetings with or on behalf of the Councillor, including ward advisory committees, citizen groups, and community initiatives.
  • Facilitate partnerships that support community development and shared ward improvement goals.
  • Serve as a primary contact for community concerns, ensuring timely and effective resolution.
  • Gather and analyze data on community needs and demographics to support municipal decision-making.
  • Support communications by drafting correspondence, newsletters, web content, and social media updates.
  • Maintain Councillor content on the corporate website, ensuring alignment with branding standards.
  • Stay informed on ward-specific issues and conduct relevant research.
  • Adhere to corporate election policies and protocols during election years.
  • Support fellow Councillor Assistants and contribute to broader Council and corporate functions as needed.

Requirements

  • Minimum 3–5 years of executive assistant experience, ideally supported by post-secondary education in public administration or a related field; equivalent education and experience combinations will be considered.
  • Proven track record of proactive, customer-focused service delivery.
  • Exceptional oral and written communication skills for engaging with diverse stakeholders and managing competing priorities.
  • Proficiency in social media tools for content management and updates.
  • Demonstrated discretion, sound judgment, diplomacy, and ability to maintain confidentiality.
  • Strong organizational skills; self-starter capable of working independently and collaboratively.
  • Ability to manage multiple tasks under pressure in a high-volume, deadline-driven environment with strong attention to detail.
  • Excellent customer service skills; able to communicate effectively with City Council, committees, staff, and Burlington residents.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Capable of balancing daily tasks with strategic corporate and departmental project work.
  • Experience with Customer Relationship Management (CRM) system is an asset.
