Opportunity
MacEwan University is seeking a Coordinator for a full-time continuing opportunity with the Ukrainian Resource and Development Centre (URDC).
Reporting to the Director of URDC, you will provide comprehensive support and event coordination for the Centre, as well as provide support to the Kule Chair and the Chair of International Health as needed. You will help implement initiatives grounded in trust, meaningful relationships, and a shared commitment to Ukraine and Ukrainian communities. Including educational initiatives, information sessions and campaigns about Ukraine to faculty, staff, students, and outside community, and promote projects to strengthen MacEwan's connection to Ukraine.
Key responsibilities include:
Event Planning and Coordination
- Planning and coordinating meetings, including drafting meeting agendas, attending and participating in meetings, recording and distributing meeting minutes, and following up on action items;
- Coordinating annual projects (e.g., URDC awards program, Gene Zwozdesky Artist in Residence program, Ukraine Week);
- Managing travel arrangements, hotel accommodation, transportation, registration, and itineraries related to conferences and events for visitors and internal staff; and
- Planning, organizing and coordinating annual and special URDC events, including liaising with guest speakers, Conference Services, and Catering, booking rooms, recruiting and managing volunteers, and collaborating with other stakeholders.
Communication and marketing
- Developing and implementing the Centre’s communication plan, including managing social media accounts, implementing strategies and analyzing engagement data;
- Coordinating with the Office of Communication and Marketing on the preparation and publication of newsletters;
- Conducting written translation and spoken interpretation (English-Ukrainian and Ukrainian-English);
- Creating posters and other visual materials; and
- Writing briefing notes, grant applications and other materials.
Financial and general administrative support
- Tracking expenses and liaising with suppliers, departments, and external vendors;
- Processing payments and reconciling corporate credit cards; and
- Coordinating, verifying and processing honoraria, grants, and awards.

SKILLS
You will have:
- Strong communication (written, verbal, and interpersonal) skills;
- Strong English and Ukrainian language skills;
- Excellent organizational and time management skills, with strong attention to detail;
- Sound judgment and diplomacy, with the ability to foster and maintain positive, collegial relationships with a variety of internal and external stakeholders;
- The ability to exercise initiative, work independently, and manage multiple priorities with minimal supervision;
- Proficiency using Google Suite and Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint; and
- The ability to solve problems, assess situations, apply good judgment and discretion, and handle confidential information.
QUALIFICATIONS
- A minimum of a Diploma in a related field.
- A minimum of 3 years of progressively responsible and diversified administrative experience.
- Experience in a post-secondary or related public sector environment is preferred.
- Experience developing visually appealing posters and other documentation is considered an asset.
- Experience working with PeopleSoft is considered an asset.
- An equivalent combination of education and experience may be considered.
