As a key member of our Registration/Admission Clerical team, the Clerical Associate provides essential clerical support to Mental Health Services in both outpatient and inpatient settings. This role involves supporting all aspects of clerical operations, including patient registration, appointment scheduling, referral processing, file and record management, and coordination with multidisciplinary teams and external agencies.
Key Responsibilities:
- Provide comprehensive clerical support to Mental Health Services, ensuring efficient and accurate administrative operations.
- Maintain patient files, including ongoing updates, filing, purging, record shifting, and retrieval, while adhering to confidentiality standards under the Personal Health Information Protection Act (PHIPA).
- Build, maintain, and coordinate staff and physician schedules for patient appointments in a dynamic clinical environment.
- Book patient appointments, process referrals, and liaise with patients, community mental health providers, and external agencies.
- Communicate effectively and with sensitivity to individuals experiencing a wide range of mental health, addictions, and developmental challenges.
- Perform inpatient unit relief duties as required, including registration and other clerical responsibilities.
- Sort and file reports, open and close medical records, manage discharges, and process information for release to external agencies, ensuring compliance with health record and privacy standards.
- Answer incoming calls, direct inquiries appropriately, and provide high-quality customer service.
- Support the use of Meditech medical record modules, including order entry, admissions, and community-wide scheduling.
- Contribute to a safe environment for patients, which may involve physical tasks such as sitting, standing, walking, lifting, pushing, pulling, and bending.
Skills and Qualifications:
- Education & Certifications: Medical Office Administration program certificate and Medical Terminology certificate required.
- Experience: Recent hospital experience preferred; experience working with psychiatric patients and knowledge of psychiatric terminology required.
- Patient Interaction: Demonstrated experience and comfort communicating with individuals experiencing a wide range of mental health, addictions, and developmental challenges required.
- Clinical Administration Skills**:** Proficiency within structured mental health referral and triage frameworks; ability to coordinate and maintain accurate schedules for physicians and clinicians in a busy environment.
- Communication & Collaboration: Strong interpersonal, verbal, and written communication skills; demonstrated experience liaising with mental health community care providers and collaborating with multidisciplinary team members and patients.
- Technical Skills: Familiarity with Meditech modules, health record processes, privacy concepts, basic release of information principles, and standard office equipment; superior keyboarding skills and proficiency in Microsoft Office.
- Organizational & Problem-Solving Skills: Demonstrated ability to prioritize competing tasks, problem-solve administrative challenges proactively, and perform with minimal supervision.
- Physical & Professional Requirements: Ability to meet the physical demands of the role, including lifting, reaching, and prolonged periods of walking or bending; demonstrated reliability and consistent attendance.
Schedule:
This is primarily a day shift position within the Mental Health Program. Some evenings and weekends may be required
