Title Committee Clerk – Secretary Job Status Regular Full Time Position Overview

Responsibilities The Legislative Services Division requires a regular full-time Committee Clerk–Secretary. You will provide a variety of support services to Council and several committees, boards, commissions, panels and public forums. You will be responsible for coordinating special events and making meeting arrangements; preparing agendas and supporting materials; compiling a variety of meeting materials; providing assistance to internal and external interest holders; taking and distributing minutes for various advisory committee meetings; and drafting correspondence and reports. You will send notices to property owners and advise relevant parties of Council, Committee and Board of Variance decisions, ensuring that correspondence and documents are processed in accordance with applicable procedures and time limits. In addition, you will provide assistance on procedural rules during such meetings and follow-up on actions and decisions of committees, boards and Council, as appropriate.
Requirements You will possess considerable related experience, excellent interpersonal and communication skills, and be able to work with considerable independence and minimal supervision. A high degree of accuracy is required and you must be comfortable working within publishing deadlines. You will also have the ability to deal effectively with the public, staff and community volunteers. The ability to take formal minutes and to keyboard at a net speed of 50 wpm is required, along with a thorough knowledge of business English, spelling and punctuation, and proficiency in Microsoft Office. Preference will be given to applicants with prior local government experience. Knowledge of an electronic agenda process, and experience with scanning, filing and searching documents within an Electronic Document Records Management System, would be assets.
Shortlisted candidates may be required to complete standardized tests or exercises to demonstrate their applicable skills and knowledge.
Compensation $31.97 to $37.58 per hour
(Pay Grade 17 – January 2024 rates)
Hours of Work
The City of North Vancouver currently works on a compressed work schedule of 8:30 am to 5:00 pm, Monday to Friday, with one scheduled day off (Monday or Friday) approximately each three-week scheduling cycle. Committee Clerks may work a regularly scheduled shift between the hours of 8:30am and 11:00pm, Monday to Thursday to accommodate evening meetings as necessary.
