Coordinator, Camps & Academies
Location: On-campus, In-person
Position Type: Full-Time
Salary Range: $58,000.00 - $62,500.00

Appleby College is seeking a highly organized and detail-oriented professional to support the full lifecycle of our Camps & Academies, from registration and participant onboarding through supporting program operations and wrap-up. This role is ideal for someone who is energized by a camp environment and excels in a position that blends administrative responsibilities with seasonal active, day-to-day operational involvement.
HOW YOU WILL THRIVE
From serving as a first point of contact for inquiries, managing registration and payments to supporting the day-to-day operations of programs, your work will be both varied and impactful.
You will work closely with program and boarding teams to coordinate logistics, support daily operations, and ensure programs run smoothly. Your ability to balance detail-oriented administrative work with hands-on involvement will contribute directly to a high-quality program experience and continuous improvement through post-program feedback and insights.
HOW YOU WILL SUCCEED
- Oversee the full-cycle registration process for all ancillary programs, including application review, documentation completion, payment processing, and participant communications
- Manage and optimize the CampBrain registration system, including annual configuration, automated communications, and accurate account management
- Collaborate with the Business Office to ensure timely payment reconciliation and processing of agent commissions
- Maintain accurate participant data, including health documentation, attendance records, and transportation details
- Provide front-line customer service and administrative support, including managing program inquiries, shared inboxes, and reception for the Summer Boarding Office
- Support program planning, documentation, and operational readiness across all ancillary programs
- Manage operational processes such as program inventory, attendance tracking, insurance claims, and maintenance requests
- Prepare and coordinate boarding logistics, including room assignments, schedules, and meal planning in collaboration with internal teams
- Coordinate program excursions, including bookings and logistics
- Prepare and distribute program materials, including participant lists, schedules, and operational binders
- Support onboarding and training of seasonal staff and participate in daily program operations
- Participate in select program activities and excursions in a leadership capacity as required
- Collect and review participant feedback to support continuous program improvement
- Ensure compliance with Appleby College policies, including health, safety, and risk management practices
- Support internal program reviews, documentation, and operational reporting
WHAT YOU BRING
- Strong administrative and customer service experience; experience in camp, education, or boarding environments is an asset
- Experience working with systems or databases (CampBrain or similar platforms preferred) Excellent organizational and time-management skills with the ability to manage multiple priorities
- Must be on-site for all summer program sessions
- Required attendance at orientation, arrival days, select excursions, and closing events
- Weekend/evening work is required during the summer
- On rotation for on-call emergency phone during the summer boarding program
- High attention to detail, particularly in data management and financial tracking
- Strong communication skills and ability to engage effectively with students, families, and staff
- Collaborative, adaptable, and solutions-focused mindset
- Participate in program orientation, arrival days, select excursions, and closing events
- Involved in occasional evening and weekend programs during the summer
