**Reporting to:**Chief Pilot
**Location:**Calgary, McCall Hangar
**Schedule:**Monday-Friday, 40 hours/week
Starting Salary:$55,000 per annum
**Term:**Approximately 12 months
**Closing Date:**March 23, 2026

As the Administrator, Chief Pilot, you work closely with the respective fleet’s Chief Pilot in an administrative support role. You are integral to facilitating and monitoring many of the tasks required of each fleet as it relates to managing a group of employees, and interoffice coordination with other departments as required.
In this role you will:
- Prepare American Express credit card statements, including searching for missing receipts and preparing, reconciling and submitting reports, review AMEX inbox daily.
- Reconcile and submit personal company credit card statements.
- Prepare and submit monthly credit card statements for Chief Pilot.
- Review and respond to communications with new and existing pilots, and action any required tasks.
- Answer pilot questions, or direct to appropriate team or department if required.
- Review and approve SAP Concur Enterprise receipts, confirming charges are valid.
- Onboard and offboard pilots, setting up all required system and physical access, ensuring uniforms and equipment are provided.
- Access uniform storage and provide replacement uniform kit as required.
- Review and approve all per diem submissions for pilots and maintenance employees; communicate with Maintenance management if there are discrepancies with maintenance submissions, or pilots as required.
- Process all Dayforce pilot changes, including promotions, demotions, schedule changes or other compensation changes.
- Process all pilot leaves of absence in Dayforce.
- Review, verify, and submit all pay adjustments submitted by pilots. Add Time Away From Work (sick leave, etc.) for pilots as required.
- Activate fobs for pilots for Palmer and McCall locations.
- Book Chief Pilot travel for events and SIM training. Book pilots’ travel for Company indoctrination.
To be successful in this role, you will have:
- High school diploma or GED, and a minimum of three (3) years of related administrative experience.
- Intermediate proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Bonus points if you have:
- Aviation industry experience.
