##AREA OF RESPONSIBILITY

Under the direction of the Manager, this position coordinates small project initiatives and events within the Youth Program & Initiatives section in alignment with corporate strategy and Council priorities. This role collaborates with the internal Youth team, other corporate divisions and staff, and external stakeholders and partners such as governments, educational institutions, community groups, and consultants. Support Youth Cabinet applications, confidential cabinet selection information and processes. The coordinator contributes to program and team success through continuous improvement, project management, program development and innovation.

PROJECT COORDINATION & OPERATIONS SUPPORT

  • Support the development and streamlining of the process for the recruitment and onboarding of interns, including assisting with Youth Cabinet onboarding and orientation logistics.
  • Assist in researching and developing youth-related initiatives, building partnerships, and supporting Youth Cabinet programming through planning and logistics.
  • Collaborate with other departments to ensure seamless integration of Youth Cabinet initiatives within broader organizational goals and community events.
  • Work with the Youth team to monitor progress and track outcomes of youth-led initiatives, including cabinet projects, compiling data to support continuous improvement.
  • Coordinate logistics and attend Youth Cabinet meetings at various locations across Brampton, including driving to sites, transporting materials, setting up rooms, and providing on-site operational support.

YOUTH OUTREACH AND ENGAGEMENT

  • Support the implementation of youth outreach initiatives to foster partnerships and increase visibility in the community, including supporting Cabinet involvement at public events and initiatives.
  • Help implement and maintain a Brampton Youth digital presence to build awareness of Youth Cabinet activities and promote engagement opportunities.
  • Support partnerships by attending meetings, gaining insights into programs, and exploring opportunities for collaboration aligned with Cabinet priorities.
  • Leverage communication channels to create and share program highlights and Cabinet success stories, amplifying youth voices in both digital and in-person spaces.
  • Support the recruitment and selection process for the Youth Cabinet, reviewing applications, shortlisting and onboarding.
  • Support the Manager in the Summer Youth employment initiatives throughout the City.
  • Handle confidential matters and co-ordinate activities to support the Manager.
  • Attend and support the facilitation of Cabinet meetings, engaging with youth participants and helping guide discussions in line with City objectives.

RESEARCH & COMMUNICATIONS

  • Conduct research on youth-related programs, benchmark against successful models and support the Cabinet in aligning with best practices and emerging trends.
  • Manage the Youth inbox and calendar to send prompt communications and maintain an organized calendar of events, meetings, and deadlines.
  • Track and record attendance at events and meetings and create detailed and effective surveys to gather feedback and insights from participants.
  • Provide input and support on corporate deliverables, including reports, contributing to updates for leadership, and ensuring that all communications and documents meet organizational standards and effectively convey key information.
  • Draft and update internal and external communications related to youth initiatives, including program updates, event promotions, and youth opportunities; manage feedback and distribute through appropriate channels.

ADMINISTRATION AND REPORTING

  • Gather and compile necessary information from youth initiatives and events, ensuring accurate data collection and documentation for reporting purposes.
  • Track expenditures related operations and youth engagement, and manage ordering of supplies, promotional items, and refreshments for meetings and events.
  • Assist with Youth budget preparations and quarterly forecast updates.
  • Responsible for the administration of confidential files and sensitive information and records.
  • Provide input on deliverable tracking, draft meeting minutes, and create project documents to ensure deadlines are met.
  • Maintain documentation and correspondence and ensure necessary sign-offs and approvals meet policies and confidentiality.
  • Ensure smooth administrative operations during Cabinet meetings by preparing materials, coordinating attendance, and maintaining accurate records.

COLLABORATION AND CUSTOMER SERVICES

  • Collaborate with operating departments to ensure seamless integration of youth into the organization, ensuring alignment with the corporate vision.
  • Participate as a member of cross-functional teams and assist with special projects involving youth engagement and Cabinet contributions.
  • Provide excellent customer service by responding to inquiries, prioritizing requests, meeting customer expectations, and escalating inquiries for resolution.
  • Champion and advocate for local youth within the workforce through inclusion, accessibility, and equity-enhancing organizational practices.
  • Apply discretion and sound judgment during meetings and in youth interactions, especially when dealing with sensitive topics or differing opinions among Cabinet members.

##SELECTION CRITERIA

###Education:

  • Bachelor’s degree in Public Administration, Social Work, Business Administration, Public Policy, Human Resources, or related field.

###Experience:

  • 3 years’ experience in social or community development.
  • Experience working with youth volunteers or ambassadors in any capacity.
  • Experience using Microsoft Office Suite to provide reporting and analytics.
  • Experience in project planning and management leveraging relevant tools and processes.
  • Experience collaborating with internal and external stakeholders.

  • Ability to collaborate with cross-functional teams and work with others to reach a common goal.
  • Experienced with Microsoft Office suite, SharePoint and social media platforms.
  • Excellent oral and written communication skills, and the ability to articulate succinctly.
  • Excellent research and analytical skills in both qualitative and quantitative information.
  • Strong organizational and time management skills and ability to prioritize deliverables.
  • Ability to maintain confidentiality and navigate with tact and political acuity.
