Job Brief
At IRM Moncton MRI, our Bilingual Medical Administrators are responsible for supporting the Manager and Clinic Coordinator and their respective clients within our medical clinic. They will work on a fulltime basis and apply thier exceptional organizational and interpersonal skills to interact with external clients, customers, vendors, consultants, suppliers, guests and visitors to our clinic as required. Responsibilities

Receive, greet and interact with external clients, customers, vendors, consultants, suppliers, guests and visitors to our clinic in either official language;

Answer telephones, triage inquiries, take messages, send and receive fax and mail as required. Manage the flow of information to members of the team. Process and distribute correspondence and mail.

Receive, track and process incoming requisitions for medical services in accordance with clinic requirements.

Transcription Recorded dictation in accordance with established formats or written documentation from medical reports, specialist reports; medical-legal reports recorded meeting minutes, letters and correspondence.

Proofread work for typographical and grammatical errors.
-
Edit transcripts for missing or incorrect content and formatting.
-
Multi-disciplinary medical report assembly and content review, proofing, editing and advanced Word formatting.

Schedule appointments in accordance with clinic requirements and communicate with clients, patients and other stakeholders regarding appointments.

Use scheduling and other software and tools to administer appointment schedule and maintain calendars.
-
Communication and follow-up with customers and health providers for requested medical information such as medical reports.
-
Administer and process paper-based and electronic clinical intake forms, questionnaires, client history, consents, and other tests and checklists with clients, patients and others as required.

Maintain filing systems. Open and close client paper and electronic files, prepare medical charts, scan documents, index medical records, filing and tracking all correspondence relating to these files.

Enter accurate patient and other relevant information into Radiology Information System (RIS), Picture Archiving and Communication System (PACS), and other software as required.

Ensure accurate patient information is recorded in all systems and charts.

Receive and process payments.

Operate electronic payments devices (e.g. debit machine, etc), including reconciling closing balance at end of each work day.

Monitor exterior for arriving patients/visitors to permit entry;
-
Monitor rooms for cleanliness and clean as required.

Prepare rooms for meetings and/or assessments and greet attendees as required.
-
Disarm/arm alarms and unlock/lock doors to open/close facility as required.

Use of Microsoft Word, Excel, Outlook, Adobe Acrobat, dictation and transcription software, and other software as required.

Other various work as assigned.
Requirements
- Ability to work day, evening and weekend shifts on a rotational basis.
- Excellent computer skills, Proficiency in Microsoft Office – Outlook, Excel & Word (advanced Word formatting).
- Good organizational and time management skills. The ability to multi-task is critical.
- Ability to coordinate and manage multiple conflicting priorities often under pressure.
- Exceptional interpersonal skills and strong leadership ability.
- Strong and effective verbal and written communication skills (spelling, punctuation, grammar). Excellent proof reading, Word editing and formatting skills to ensure process quality assurance.
- Proficient typing skills.
- Be able to maintain confidentiality and client discretion at all times.
- Must be detailed oriented to ensure accurate deliverables with ability to take initiative to meet deadlines.
- High level of motivation, maturity & dependability.
- Must be a fast learner and open to feedback.
- High level of business maturity in a fast paced, high output practice.
