Program Assistant – Community and Social Services (CSS)

Overview

Reporting to the Manager, Social Services, the Program Assistant, CSS will provide key administrative support to the leadership and staff within the portfolio; while also aligning with peers and supporting organization-wide initiaitives.

Key Responsibilities

Provides general administrative support to the Coordinator and staff of the Community Services team. Prepares the Calendar of Events for the Centre, updates and maintains as required. Enters data in the database for specific programs, collects and collates client data, produces client information reports, and prepares statistical reports and documentation to meet program and funder deadlines. Records minutes of meetings as needed and distributes to meeting participants, produces documents and charts using Office Suite programs. Assists with the planning and execution of community events, including booking space and transportation, seeking quotes for activities, organizing food and refreshments, etc. Collects and collates staff timesheets, including leaves and other time off, and submits to designated leader for approval and submission.

Qualifications

Post-secondary training or equivalent experience in office management, administrative or a related program or an equivalent combination of experience & education Technical skills, i.e., Comfortable with databases, Word, Outlook, PowerPoint, Excel, etc Bilingualism preferred (French and English), ability to speak Arabic and/or Somali a strong asset Strong organizational, time management, oral and written communication skills Ability to work independently and as part of a team Experience in dealing with vulnerable populations Community experience is an asset Salary $42,169.40/yr - $50,213.80/yr What we Offer The Centre offers excellent employee benefits including generous leaves as well as Extended Health & Dental coverage. Proud to be a member of the Alliance for Healthier Communities, we are a community governed non-profit resource centre providing health services, social supports and community development in an inter-disciplinary setting. We serve the constituency of South-East Ottawa, and particularly try to meet the needs of folks with limited access to health and social supports, including newcomers to Canada. Most of our services are free and many of our programs are operated both at our main location (1355 Bank St.) and out in the community. Our second site is EarlyON which serves families in the Heatherington-Fairlea community and our third site is at the Hunt Club-Riverside Community Centre.
