The Opportunity We are currently seeking a Coordinator, Facilities to join our Contract Management Department in Sudbury, Ontario.

This is a permanent onsite position, working Monday to Friday – day shifts and the incumbent must also be available for on-call duties throughout the year . This posting is for an existing position vacancy.

The Coordinator, Facilities oversees daily operations and maintenance across six diverse buildings, including office, greenhouse, and vacant facilities. This role builds strong client relationships, ensures compliance with all regulatory requirements, and supports strategic facility management initiatives. The incumbent also assists with developing and managing the departmental budget and performs additional duties as needed.

Additionally, in this position you will:

  • Maintain all facilities in safe, compliant, and fully operational condition while meeting regulatory requirements, internal customer needs, and Vale’s safety standards.
  • Oversee and manage contracts for building support services—such as cleaning, security, and landscaping—ensuring vendors meet safety expectations, contractual obligations, and Vale policies.
  • Monitor the performance of building support services to ensure safe, efficient, and high ‑ quality operations, including regular reviews, emergency preparedness communication, inspections, and audits.
  • Coordinate construction activities for both Capital and Operating projects, ensuring alignment with scope and operational requirements.
  • Lead contractor kick ‑ off meetings and Process Hazard Reviews to ensure clarity, safety, and compliance before work begins.
  • Oversee contractor activities, including work approvals, site access, qualifications, safety performance, work quality, and overall efficiency.
  • Review, validate, and approve contractor time sheets and invoices, confirming accuracy and that services were delivered as agreed.
  • Serve as the primary contact for vendor coordination and procurement of materials and services for office facilities, including maintaining office supply and printer inventories and supporting team scheduling or purchasing needs.

About You Education:

  • Grade 12 completed or GED equivalency is required.
  • Valid industrial trade certificate for the province of Ontario (Electrician Red Seal 442A or 309A or 309R or Plumber 306A or HVAC 313A/ 313D or 308A or TSSA certification or Carpenter 403A ) is preferred.
  • A post secondary diploma or certificate in Business, Building Maintenance, or related field is asset.
  • Certified Facility Manager (CFM) credential or equivalent would be an asset.

Experience:

  • Minimum 2 years of experience in operations managing facility operations and maintenance activities, including oversight of vendors and contractors across multiple buildings.
  • Background coordinating construction or facility-related projects, with involvement in safety reviews, inspections, and regulatory compliance.
  • Demonstrated experience in contract management, procurement, and reviewing or approving contractor time sheets, invoices, and service delivery.

Skills:

  • Ability to work with minimal supervision and work well with others in a team environment.
  • Must have strong written and oral communication skills.
  • Must be obsessed with safety and risk.
  • Must demonstrate open and transparent dialogue in all aspects of work.
