Administrative Support Specialist – Wealth Management Midtown Toronto | Steps from the Subway Are you a master of organization who thrives on keeping high-performing investment professionals on track? We are a busy Portfolio Management team looking for a dedicated Administrative Support Specialist to serve as the backbone of our practice. This isn't just a "data entry" job—we need a gatekeeper and a strategist who takes pride in being a top-tier administrator for a sophisticated wealth management team. No wealth management experience necessary - if you have top level administrative skills, we'll teach you the industry! The Location 📍 Midtown Toronto. We are conveniently located right on the subway line, making for an easy, stress-free commute. What You’ll Do Drive the Practice: Keep the portfolio management team focused on high-level strategy by managing complex schedules, meeting prep, and daily priorities. Client Onboarding: Lead the administrative onboarding process for new clients, ensuring all documentation is accurate and the transition is seamless. Client Management: Utilize CRM to manage HNW client data and ensure a premium service experience. Presentation Design: Create professional, high-impact presentations and quarterly reports using MS Office. Who You Are A Natural Organizer: You don’t just follow a process; you improve it. You are the person who keeps the entire team focused. Tech-Savvy: You are highly proficient in MS Office (Excel is a must). Preference given to candidates who have experience with ACT! and Cloven CRM systems. A Pro Communicator: You possess excellent verbal and written skills for professional, high-level client interaction. Career-Oriented and a Sense of Maturity: You aren't looking for a "stepping stone"—you want to be the best administrative professional in the industry. Requirements At least 10+ years of administrative support experience in a professional services or sales environment. Strong proficiency in MS Office (Outlook, Word, and Excel). Experience with CRM such as Salesforce or ACT! is an asset but not required. Ability to work on-site in Midtown Toronto. Previous Wealth Management experience is preferred but NOT required; we value a high-level administrative background and a willingness to learn our specific systems.
