About Us

The Ministry of Community Safety is responsible for overseeing Saskatchewan’s correctional system and facilities, providing guidance and support to Saskatchewan’s municipal police services and supporting community and public safety services throughout Saskatchewan.

The Opportunity

The Deputy Minister’s Office (DMO) within the Ministry of Community Safety is seeking a highly organized and detail-oriented administrative professional to join us in the role of Senior Executive Coordinator. This position will report to the Deputy Minister of Community Safety.

As the Senior Executive Coordinator, you will provide executive-level administrative leadership and office management support to the Deputy Minister and team by:

  • Providing overall administrative management of the Deputy Minister’s Office, including being the primary contact for both internal and external inquiries;
  • Liaising with senior leaders, both internal and external to government, working closely with political offices across jurisdictions;
  • Managing the Deputy Minister’s calendar through collaboration, prioritization and scheduling;
  • Retrieving, researching and compiling all briefing and background materials for the Deputy Minister;
  • Monitoring the Deputy Minister’s emails and redirecting requests to other team members as appropriate;
  • Planning, scheduling and coordinating travel and logistics for meetings, training sessions and other events;
  • Monitoring administrative standards, processes and policies across the ministry and making improvement recommendations to ensure optimum efficiency;
  • Training, mentoring and supervising administrative staff within the office and providing leadership to administrative staff across the ministry;
  • Preparing a variety of correspondence and materials for the Deputy Minister’s signature by drafting, proofreading, editing and formatting to ensure proper visual standards;
  • Managing, tracking and directing documentation to the Minister’s office;
  • Participating in and coordinating management meetings, including drafting and distributing agendas; recording minutes; and, tracking and monitoring action items to ensure timelines are met;
  • Managing incoming and outgoing correspondence, ensuring proper distribution, action and follow-up;
  • Maintaining manual and electronic filing, bring forward and records management systems; and,
  • Timely and accurate processing of invoices and travel expenses.

Ideal Candidate

The ideal candidate will be a highly experienced executive administrative professional who is:

  • Independent and confident in order to organize, prioritize and proficiently complete multiple tasks while dealing with frequent interruptions and tight deadlines;
  • Tactful and discreet when working with confidential and sensitive information;
  • Inclusive and collaborative in order to build strong working relationships;
  • Supportive and accountable to ensure quality training and supervision of team members;
  • Organized and influential to ensure team tasks are being completed;
  • An exceptional communicator both verbally and in writing;
  • Innovative in order to identify and make process improvement recommendations;
  • Thorough and accurate to ensure quality work; and,
  • Adaptable in order to meet new challenges as they arise.
  • Typically, the knowledge and experience required to achieve the above is obtained through:
  • A combination of formal education in business or office administration, combined with significant executive level administrative work experience;
  • Experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint and Outlook); and,
  • Experience supervising, coaching and mentoring staff.
