Job Title: Receptionist/Field Administrator (1 year Maternity Leave)

Location: Grande Prairie, AB

The Receptionist/Field Administrator is responsible for being the first point of contact for visitors at the Grande Prairie office, and for ensuring that the office is run smoothly. Additionally, this role provides administrative support to the Source Distribution department in general.

What You’ll Be Doing:

Front Desk

  • Greet visitors, oversee ‘visitor protocol and procedure’
  • Receive, screen, and redirect incoming calls and inquiries to the appropriate individuals, departments, or locations. Take and send messages as required
  • Full cycle handling of incoming/outgoing mail and courier services

Administrative Assistance

  • Provide comprehensive administrative support to Source Distribution divisions
  • Order office supplies and maintain inventory
  • Creation and preparation of PO’s, match invoices to PO’s then forward to AP department
  • Assist with managing internal and external meetings and events
  • Arrange travel, hotel bookings, catering, etc., for meetings in the Grande Prairie office and for Source Distribution staff as requested
  • Provide employees with meeting assistance and tele-conferencing set-up
  • Assist HSE department with new hire orientations, and uploading training certificates and documents into Insight
  • Onboard new team members, assignment and tracking of keys, key fobs, photo ID cards, etc.
  • PPE Inventory tracking and ordering
  • Field ticket tracking and creation of sales orders
  • Set up and maintain manual and computerized information filing systems
  • Assist the Source Social Committee with employee events
  • Assist with ordering corporate gifts
  • Other duties as required and assigned

Office Maintenance

  • Maintain office, kitchen/coffee station and IT supplies, support other locations with ordering supplies as needed

  • Maintain organization and cleanliness of office space including boardrooms, supply rooms and kitchen/coffee stations

  • Coordinate and scheduling for any office maintenance requirements

  • Coordinate office moves and minor office construction programs as required

  • Decorate office and arrange any other requirements during various events or holidays

Who We’re Looking For:

  • Minimum 2-3 years of proven experience in a similar role

  • Business Administration certificate or diploma an asset

  • Flexibility to adapt to dynamic situations in a fast-paced, ever-changing environment

  • Excellent oral and written communication skills

  • High attention to detail and accuracy

  • Demonstrated ability to work both independently and as part of a team

  • Ability to coordinate multiple projects within tight timelines

  • Pro-active, enthusiastic and positive demeanor

  • Intermediate to advanced experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Teams

Source owns and operates a Northern White frac sand mine and related closed-loop wet processing plant located in east-central Barron County near the town of Sumner, Wisconsin, a Northern White frac sand mine and related closed-loop wet processing plant, which includes three washing circuits, dry processing plant and unit train capable loadout facility, located near Blair, Wisconsin , a dry processing plant, storage and loadout facility located in Weyerhaeuser, Wisconsin, and a Northern White frac sand mine and related closed-loop wet processing plant, dry processing plant, and loadout facility, located near Blair, Wisconsin. Early in 2022, Source assumed all operations, distribution, and sale of domestic frac sand from a facility in Peace River, AB. This transaction provided Source with the opportunity to integrate Peace River frac sand into Source's leading distribution network resulting in low-cost production with significant logistical advantage and ensures efficiency of supply for our customers while expanding the company's footprint and product offerings as well.
