The Signature Learning Experiences Office in the Office of the Provost & Vice-President Academic is currently seeking a Full-time Regular Events and Communications Specialist.
The Office of Signature Learning Experiences is a central unit that promotes, offers, supports, and tracks experiential learning opportunities for UCalgary students. The office will be a visible and recognizable point of contact for students looking to engage in signature learning experiences and for academic units wanting to enhance experiential learning opportunities in global experiences, entrepreneurial thinking, work-integrated learning, and undergraduate research experiences.
This position reports to the Director, Student Success & Operations with in-scope supervision from the Senior Communications Specialist. The Specialist will work closely with Signature Learning staff and academic directors to support key events and programs, including the unit's micro-credentials and a variety of cyclical activities. The incumbent supports communications and events that engage the University of Calgary's key audiences, boost the awareness of the university, enhance our overall reputation, and deliver against the Office of Signature Learning Experience's strategic direction. This position may occasionally work irregular hours around key events and during peak periods
Summary of Key Responsibilities (job functions include but are not limited to):
Communications & Programming
Collaborate with the Senior Communications Specialist to ensure programming is communicated broadly across the campus. Support a broad range of communications initiatives to build the profile of the Office of Signature Learning Experiences. Develop and contribute engaging and relevant content across multiple channels, including digital, events, social media, websites, and newsletters. Write and edit various communication pieces (eg., news stories, press releases, etc.), including sourcing data, facts, and interview subjects. Create and update key messaging for various programs, initiatives, and events. Develop and manage project workbacks and timelines to ensure communications are delivered in a timely and effective manner. Develop and maintain websites and web content on the Drupal platform. Provide design and content support and update digital content for OSLE's micro-credentials via Articulate.
Event Planning and Coordination
Work with subject matter experts and program leads to set program/event objectives, develop timelines, and write program descriptions. Lead event coordination for key OSLE activities, managing key event logistics. Manage day-of event logistics (registrations, orientations, technology checks, volunteer management). Prepare executive briefing notes, speaking notes, slide decks and moderator scripts for OSLE events and activities. Develop, execute, and evaluate event and program communications and marketing campaigns. Develop event plans and an annual event planning timeline. Create event communication campaigns. Manage event registration in different platforms as required (Professional and Continuing Education Portal, LiveWhale, Cvent). Manage digital platforms for online events and webinars (Zoom, Cvent). Build, manage and edit program and event webpages. Support content development for website and digital media.
Program Evaluation and Reporting
Supports quality assessment and reporting related to OSLE events, programming, and micro-credentials. Compile and summarize feedback and assessment and inform the continuous improvement of programming. Track key metrics, prepare data visualization graphics, and contribute to reports on OSLE programs. Support the program evaluation cycle for key events and OSLE's micro-credentials. Prepare and/or review detailed data reports and work closely with OSLE leaders to analyze trends, identify gaps, and propose long-term strategies for developing future programming.
Qualifications / Requirements:
Minimum of 3 years of progressive experience with event coordination and communications, preferably within a postsecondary institution. Experience working in a large, dynamic team with proven examples of personal effectiveness in program/event planning, project management, implementation, evaluation, and reporting cycles is required. Post-secondary degree in a related field required (e.g., education, marketing, communications, public relations). Demonstrated examples of exceptional oral and written communication, interpersonal, and facilitation skills with a client-service orientation. Proven experience ideating, planning, and executing large-scale events in in-person, virtual, and hybrid formats. Demonstrated ability to work independently to tight timelines, dealing effectively and accurately with overlapping and changing deadlines is required. Digitally savvy and able to quickly learn and work across a broad range of platforms, content management, and learning management systems, as well as MS Office Suite (Word, Outlook, Excel, and Teams). Experience working with design collateral, including in Canva and Adobe Creative Suite, is an asset. Experience with, and understanding of, different writing styles, including web content, announcements, articles, press releases, event and communications briefs, newsletters, and reports is an asset. Experience with D2L, LiveWhale, and Articulate is an asset. Excellent project and time management skills, strong analytical and problem-solving skills, and high attention to detail. Proven ability to build strong relationships with colleagues across a large organization. Agile mindset with a focus on learning, growth, and handling shifting priorities. Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment. Strong understanding of Indigenous perspectives, communities, protocols, and engagement.
