Reporting to either the Department Manager, Hub Administration - YVR, the Hub Facilities and Vendors Administrator is responsible for the effective management of employee facilities and vendor services at Air Canada’s hub YVR airport. This role ensures facilities meet health, safety, and operational standards while maintaining a positive employee and customer experience. The position also manages vendor relationships, leads the Hub’s coordination with strategic procurement, and ensures costs are controlled to ensure high-quality service delivery and operational efficiency.
Responsibilities:
- Review and triage frontline employee submissions, ensuring facility concerns and defects are assigned to the appropriate contractors.
- Address and resolve facility health and safety issues through weekly H&S meetings and follow-ups. Support emergency preparedness planning, including evacuation procedures.
- Coordinate contractor work, including allocation of work orders, cost-effective solutions, and access to required areas.
- Identify process improvements and cost saving opportunities with the use of vendors at the hub.
- Work with SP, CRE, and other departments on business cases and RFP’s.
- Serve as the primary liaison with the airport authority on tenant space repairs, cleaning schedules, and areas for improvement.
- Manage local 3rd party vendors supporting airport operations groups.
- Partner with Strategic Procurement on service agreements, including negotiation and management of vendor contracts.
- Hold vendors accountable for timely, high-quality, and compliant work.
- Collaborate with Corporate Real Estate (CRE) on the procurement and replacement of furniture and appliances.
- Manage accounting processes related to contractor invoices and payments, ensuring accuracy, compliance with work order references, and cost appropriateness.
- Purchase and manage supplies for the station in a cost-efficient manner, including health and safety items and employee amenities.
- Provide regular financial reporting to senior management on facility contracts, including validation of vendor invoices.
- Conduct audits of leased and employee spaces to ensure compliance with health, safety, and operational standards. Perform follow-up actions with suppliers and contractors as required.
- Oversee preventative maintenance programs to reduce downtime, avoid costly emergency repairs, and optimize use of in-house contractors for minor repairs.
- Maintain transparent communication with stakeholders regarding facility status, project progress, and vendor performance.
- Coordinate local special events and access to spaces in restricted areas as needed.
Qualifications
- Bachelor’s degree in a related field, or an equivalent combination of education and experience required.
- Experience in facilities management, contract/vendor management, or related disciplines.
- General contractor background preferred; certifications in plumbing, electrical, or architecture considered an asset.
- Experience in airport operations or a similar regulated environment strongly preferred.
- Demonstrated ability to manage multiple contractors, projects, and budgets simultaneously.
- Strong understanding of health, safety, and environmental regulations.
- Proven skills in auditing, procurement, and vendor performance management.
- Excellent communication and stakeholder management skills, with the ability to work across departments and with external partners.
- Must be able to secure and maintain a Restricted Area Identity Card (RAIC) with airside driving privileges.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
