Where You’ll Add Value

The Regional Administrator will thrive in a fast-paced, entrepreneurial environment and will be responsible for managing the office administration functions for an assigned region.

How You’ll Make a Difference

Customer Service

  • Ensure a superior level of co-operation, service and support is provided to residents, thereby ensuring that Morguard is a landlord of choice
  • Maintain good resident-landlord relations
  • Provide direct escalation support for site teams regarding resident correspondence.
  • Facilitate the recovery of outstanding balances from former tenants and aged receivables by executing strategic collection efforts.
  • Oversee outbound communications, including demand letters, to ensure timely and effective follow-up.
  • Collaborate with collections agencies to optimize recovery outcomes while maintaining compliance.
  • Maintain accurate documentation to support potential legal escalations and ensure procedural integrity.
  • Ensure accurate and timely documentation and resolution of resident concerns.

Office Administration:

  • Will be required to know basic coordination of office administration including ordering office supplies, organizing and maintaining filing system, email, phone calls and walk-in visitors
  • Provide information to residents and ensures all resident concerns are acted upon in a timely manner
  • Draft collection notices
  • Monitor petty cash expenditures
  • Ensure terms of the lease agreements are met and administers damages/security deposits and charges
  • Provide Building Managers with lists of leases coming up for renewal
  • Assists the Regional Manager on any pending projects and assignments
  • Attend hearings or is involved in hearings including creating files, preparing evidence and gathering back-up materials
  • Process Capital Quotes, prepare Purchase Orders and include in tracking sheet
  • Assist in the implementation of new software and automation tools (e.g., mail merge, Rhenti support).
  • Oversee and coordinate content updates for the region.
  • Handle regional-level reporting, including insurance, accounts receivable (AR), VOR, lease renewals, and expiries.
  • Coordinate outbound communications, issue demand letters, and liaise with collections agencies.
  • Maintain accurate documentation for potential legal escalation.

Accounting:

  • Assist Payscan process, where needed
  • Review rental applications, lease agreements or change in status forms to ensure they are complete and accurate and submit to lease administration at head office for entry
  • Facilitate review of rent rolls and aged accounts receivables as required by head office
  • Process correspondence as required under local housing laws and regulations (i.e. N4's, L1's, Releve 4, etc.)

Leadership & Management:

  • Provide training to new Team Members on systems and processes and procedures

The Expertise You’ll Bring

  • Degree/diploma and/or an equivalent combination of education and/or experience

  • 2-3 years of administrative experience, preferable in a busy office

  • Strong computer skills including Microsoft Office (Excel, Word, Outlook)

  • Core Competencies (if this needs to be changed for specific job)

  • Excellent communication is required. Ability to speak other languages is considered an asset

  • A professional demeanor with strong communication skills, both verbal and written

  • Excellent customer service skills

  • Ability to accurately listen, understand and respond to issues appropriately

  • Ability to work and act independently using good judgment when assessing difficult situations

  • Exceptionally organized and detail oriented

  • Ability to work under pressure and meet deadlines

  • Self-motivated individual with a “can-do” and “no task is too big or too small” attitude

  • Superior time management skills with ability to multi-task/prioritize and work under tight timelines

  • A demonstrated high degree of integrity, diplomacy, discretion and confidentiality

  • Ability to speak other languages is considered an asset

Preferred Qualifications and Experience (All things that considered assets here)

  • Experience with Yardi would be an asset
  • Experience in a customer service role would be an asset
  • Exposure to the Property Management Industry would an asset
