Under the general supervision of the Campus Administrator, the position provides exceptional client service to community on campus, employers, renters, licensees, OC employees, prospective and current students and other stakeholders. With a comprehensive knowledge of Okanagan College, campus services including testing services, event services, career services including Work Integrated Learning (WIL) and career development services, and College policies and regulations, this position receives, responds, and refers inquiries about Campus and Career Services; provides event and services logistical and data support; maintains and updates campus, event, testing and WIL records in accordance with Okanagan College policies and procedures; provides cashier services for testing services and event rental payments, and provides clerical and administrative support to the Community Engagement & Careers Department.
Functions and Duties

Interacts with community members, employers, renters, licensees, OC employees, prospective and current students and provides service information on Okanagan College campus and career services either by telephone, electronically or face-to-face.

Responds promptly and accurately to inquiries, concerns and requests about campus and career services, including direction of requests and unresolved issues to designated resources.

Makes appropriate referrals to the internal college community, external partners, and agencies as required.

Engages with community members, employers, renters, licensees, OC employees, prospective and current students with respect, inclusion, and professionalism.

Assesses data and documentation to verify, track, and correct required information for service-level, college, and provincial reports. Collects data and prepares statistical reports; prepares background information for program development and funding proposals; communicates with grant funding partners as needed.

Assists prospective and registered students and other stakeholders in navigating the Okanagan College website with particular attention paid to the Career Hub webpages and apps.

Advises community members, employers, renters, licensees, OC employees, prospective and current students on service information guidelines, processes, and requirements.

Collects data and prepares statistical reports; prepares background information for program development and funding proposals; communicates with grant funding partners as needed.

Produces, prints, and distributes official Okanagan College and departmental documents and reports.

Provides campus and career services including accepting and processing payments, (account adjustments (ie. refunds), internal and external room rentals, testing fees, and other fees).

Completes and audits cashier sessions and prepares bank deposits.

Liaises with various internal departments and external stakeholders.

Provides a variety of administrative, office, and support services for the Community Engagement & Careers department services areas. Monitoring equipment and supplies, typing, photocopying, proofreading scanning, filing, sorting and distributing mail, coordinating courier services, maintaining departmental forms, updating SALTO cards, processing internal and external room rentals, etc.

Reviews policies and monitors procedures and processes that support the efficiency and effectiveness of the Community Engagement & Careers department; recommends changes and improvements as needed; ensures that students, College employees and employers adhere to departmental policies and procedures.

Process payment vouchers, journal entry transfers, invoices, honoraria, requests to purchase, and other related financial documents.

Provides the Community Engagement & Careers department assistance in the creation and delivery of materials as appropriate, and the delivery of internal and external events.

Assists in the coordination of a variety of external and internal student tests including the scheduling, invigilation, and supervision of internal and external testing (accommodated exams, entrance tests, exam invigilation).

Provides campus services position backup as assigned.

Performs other duties as assigned.
Education and Experience
Graduation from a two-year post-secondary program in a related field is required. A minimum of one year of related job experience is required.

Typical hours of work are 8:30 a.m. to 4:30 p.m., Monday to Friday. However, due to the nature of this position, flexibility is required. Alternate hours and days, including evenings and weekends, may be necessary to meet operational needs such as events and special activities.
Annual Salary/Hourly Rate
$48,994 - $55,947
