About the role

Reporting to the Director of Oncology and Palliative Care and supporting both that role and the Chief of Oncology, the incumbent will provide confidential administrative support, establish and maintain credible and effective working relationships with internal and external contacts, executives, and management team members. Within the role, the incumbent will exercise good judgement and independence in the performance of complex administrative support. This includes attendance at meetings, maintaining electronic calendars, making necessary arrangements for travel and conference registrations, greeting and assisting employees, guests or patients, data entry, the ability to generate and print reports and other communications as required. Additional daily activities will be essential to accommodate evening and early morning meetings. The incumbent must have a positive attitude and superior communication skills necessary to maintain Niagara Health's core values. Empathy and respect for the patients who are supported by the Walker Family Cancer Centre and values of oncology care are imperative within this role.

RESPONSIBILITIES AND COMPETENCIES:
o Manages calendars: schedules appointments, meetings, and conferences; coordinates internal and external bookings including meeting space and conference attendance; ensures all appointments are properly coordinated and confirmed
o Prepares memos, letters, presentations, emails, and other communications for internal and external audiences
o Serves as a point of contact for communications (phone, email, mail) and triages inquiries from staff, volunteers, physicians, visitors, and others; provides excellent customer service
o Maintains office supplies and places orders as needed within approved guidelines
o Organizes, develops and maintains digital and physical filing systems, ensuring all records are accurate and up to date
o Coordinates office mail and courier deliveries and distribution
o Inputs data into relevant systems, tracks deadlines, and maintains accurate records for office activities
o Supports planning and events calendars; assists with special events as needed
o Collaborates with other portfolios/programs to ensure clear communication and smooth project execution
o Demonstrated ability to manage a large, diversified workload with changing priorities and deadlines
o Proficient in minute-taking and transcription; comfortable producing reports and presentations for events.
o Demonstrated commitment to continuing education
o Strong working knowledge of Microsoft Office Programs as well as other virtual platforms

QUALIFICATIONS:
o Completion of a Community College Diploma specializing in Office Administration, or equivalent
o Minimum two years of administrative experience in an administrative role, or related clerical experience. Consideration for an equivalent combination of education, training and experience.
o Work experience in a unionized health-care setting an asset
