The Operations Lead is the steward of CareerJoy’s operational backbone.
This role exists to ensure that:
- Our systems work
- Our data is trusted
- Our costs are understood and optimized
- Our vendors and technology partners deliver value
- Our teams are enabled — not slowed down — by operations
This leader owns the how behind the work: translating strategy into systems, structure, and scalable execution, while protecting the human experience for both clients, partners and team members.
Technology & Systems Ownership
- Own and champion Google Workspace (Google OS) across the organization, ensuring security, governance, adoption, and best-in-class usage.
- Act as the primary owner of Genatec's IT infrastructure , overseeing performance, scalability, and vendor relationships.
- Serve as the single point of accountability for CareerJoy’s full tech stack , ensuring systems are integrated, modern, and aligned to business needs.
- Provide internal tech support escalation , troubleshooting issues and coordinating external IT partners as needed.
- Act as the single point of accountability for all vendors and software licenses, working in partnership with Finance to optimize spend, contracts, and operating efficiency.
HubSpot Ownership & CRM Excellence
- Own HubSpot end-to-end — backend architecture, frontend usability, workflows, automation, integrations, and reporting.
- Champion CRM governance, data quality, and consistent usage across all teams.
- Build dashboards and reports that support leadership decision-making, operational clarity, and client lifecycle insights.
- Partner cross-functionally to evolve HubSpot in support of sales, operations, outplacement, and service delivery.
Vendor, Licensing & Contract Management
- Act as Vendor and License Manager for all technology, software, and operational tools.
- Oversee contract negotiations, renewals, compliance, and cost optimization.
- Ensure vendors and platforms deliver value and scale with CareerJoy’s growth.
Security, Compliance & Risk
- Serve as Company Security Officer , accountable for data security, access controls, and risk mitigation.
- Ensure compliance with federal and provincial regulations , client security requirements, and government standards.
- Lead security audits, access reviews, and incident response protocols.
Government & External Reporting
- Own required government and regulatory reporting , ensuring accuracy, readiness, and compliance.
- Partner with Finance and Leadership on audits and reporting requirements.
Financial Partnership & Cost Optimization
- Work closely with Finance to optimize operating costs, delivery costs, and technology spend.
- Analyze system usage, licensing, and workflows to improve cost-to-serve and efficiency.
- Support forecasting and budgeting through accurate operational reporting.
Cross-Functional Enablement
- Act as a strategic partner to People & Culture, Product & Solutions, Sales, and Professional Services.
- Enable teams with systems, reporting, and operational clarity to execute effectively.

Qualifications & Experience
- 3+ years of progressive experience in operations, systems, or business enablement roles
- Proven experience owning a technology stack , CRM (HubSpot), and operational systems
- Strong experience with vendor, licensing, and contract management
- Demonstrated partnership with Finance on budgeting, cost optimization, and reporting
- Experience acting as or partnering with a Security / Compliance Officer
- Strong project management and change leadership capabilities
- Comfortable working cross-functionally with senior leaders and external partners
- Experience in professional services, consulting, or people-centric organizations preferred
