Assistant & Mortgage Underwriter
Location: [Remote / Hybrid] (remote for interim and hybrid starting in October - Mississauga/Oakville) Employment Type: Full-Time (Preferred) Salary: Competitive, based on experience
About the Role
We are looking for a highly organized, detail-oriented Assistant & Mortgage Underwriter to join our growing mortgage team. This is a multifaceted role that combines mortgage underwriting support, administrative assistance, bookkeeping, and client relationship management.
The ideal candidate is proactive, thrives in a fast-paced environment, and enjoys keeping operations running smoothly while providing exceptional service to clients and referral partners.
Key Responsibilities -Mortgage Underwriting & File Management -Review mortgage applications for completeness and accuracy. -Analyze financial documents, including income, assets, liabilities, and credit reports. -Prepare and organize mortgage files for submission to lenders. -Follow up with clients, lenders, and other third parties to obtain outstanding documentation. -Monitor mortgage files to ensure deadlines and conditions are met. -Assist with mortgage approvals, conditions, and funding processes.
Administrative Support -Manage calendars, appointments, and scheduling. -Organize digital files and maintain accurate client records. -Prepare documents, correspondence, and reports. -Coordinate communication with clients, lawyers, realtors, and lenders. -Assist with day-to-day office operations and special projects.
Lead Management & Client Follow-Up -Contact new leads promptly by phone, email, and text. -Follow up with existing clients throughout the mortgage process. -Maintain and update the CRM with accurate notes and activities. -Schedule appointments and consultations. -Build positive relationships with clients and referral partners. -Help nurture long-term client relationships for future business and referrals.
Bookkeeping & Financial Administration -Record and reconcile business transactions -Process invoices, receipts, and expense reports.
Qualifications -Experience in mortgage underwriting or mortgage administration preferred. -Knowledge of Canadian mortgage products and lending guidelines is an asset. -Strong organizational and time-management skills. -Excellent verbal and written communication. -High attention to detail and accuracy. -Ability to manage multiple priorities and meet deadlines. -Proficiency in Microsoft Office and Google Workspace. -Experience using CRMs and mortgage software is an asset.
Preferred Skills -Mortgage industry experience. -Familiarity with lender portals and document submission. -Strong customer service skills. -Ability to work independently with minimal supervision. -Problem-solving mindset and initiative. -Professional, positive, and team-oriented attitude.
