About the role

Luther College invites applications for a full-time permanent position in the role of Donor and Alumni Relations Assistant. This position reports to the Director of Development and supports the Alumni and Development office, assisting in the administration of the alumni relations and development programs at both the High School and University campuses. This position performs various donor relations and administrative functions including database management, gift processing, event planning, and overall office administration.

Responsibilities

Donor and Alumni Relations

-Database Management

  • Create, update and maintain accurate constituent records in Raiser’s Edge database ensuring accurate and up-to-date details on alumni, donors, and other constituents
  • Manage the integration and ongoing imports and exports of data between Raiser’s Edge and the College’s other databases
  • Develop and generate queries, exports and reports for reconciliation, analysis, strategic planning, measurement and reporting
  • Generate data lists for mailings, publications and events
  • Develop, document and communicate database policies, standard procedures and best practices
  • Maintain overall database integrity and ensure data accuracy to eliminate duplicate records and inconsistent data
  • Set up and maintain database codes and tables including managing appeals, funds and campaigns
  • Ensure confidentiality and privacy of all alumni and donor information
  • Identify and research “lost” alumni and update the database accordingly
  • Ensure coordination of University campus alumni data collection and management with the University of Regina

-Gift Processing and Donor Services

  • Receive, record and process donations (cash, cheque, credit card, online, payroll deductions, publicly traded securities, bequests, gifts-in-kind) received by phone, mail, online, or in person; ensure donations are added to Raiser’s Edge in a timely and accurate manner
  • Ensure accuracy of donation information, accurate soft credits, pledge input and coding of funds and appeals
  • Ensure donors receive appropriate acknowledgment in a timely manner, including making thank you calls and preparing and sending thank you letters
  • Issue tax receipts while ensuring compliance with Canada Revenue Agency regulations
  • Generate and track donor pledge reminders
  • Prepare monthly and annual giving reports and donor lists
  • Assist with the creation of fundraising appeal letters and associated documents

-Scholarships

  • Develop and maintain effective relationships with scholarship donors, keep scholarship supporters updated, and manage requests and inquiries
  • Assist the Director of Development in drafting gift agreements and terms of reference
  • Liaise with scholarship selection committee, Registrar, and finance office to ensure selection and scholarship processes are executed accurately in alignment with the donors wishes, fund availability and manage expenditures
  • Manage and maintain scholarships development policies and procedures related to scholarships

-Events

  • Assist in the planning, coordination and execution of a variety of events for both donors and alumni, including creating budgets, drafting invitation lists and sending invitations, coordinating venues, catering and maintenance requests, tracking registrations, and collecting payments
  • Attend events, as required, to assist with set-up and clean-up and event execution; this requires being adaptable to assist with and participate in after-hours meetings and events
  • Prepare and distribute congratulatory letter, copy ofLuther Story, and alumni gift to Fall and Spring University campus graduates -Office Administration
  • Act as the first point-of-contact for external inquiries related to fundraising and alumni relations
  • Creating, routing and filing accounts payable
  • Track office expenses and assist with budget reconciliation
  • Collect and distribute office mail and manage alumni email inbox
  • Maintain and order office supplies
  • Maintain and order letterhead and envelopes for both campuses
  • Design and order business cards for faculty and staff
  • Other duties as required -Sponsorships
  • Responsible for developing, securing, and managing sponsorship opportunities for College events including but not limited to LIT, LIVT, the annual Parent Fundraiser.
  • Work closely with internal and external stakeholders to build strong partnerships, revenue, and strong sponsor relationships.
  • Reporting on sponsorship progress to Director of Development.

Qualifications

  • Minimum of one-year post-secondary education and/or experience in an office environment, or equivalent combination thereof
  • Proficiency in Microsoft Office Suite applications
  • Experience with Raiser’s Edge or a similar CRM database or fundraising software preferred
  • Familiarity with income tax receipting requirements as mandated by the Canada Revenue Agency would be an asset
  • Experience working in a non-profit setting would be an asset
  • Highly motivated and able to work independently and as part of a team
  • Organized and flexible; able to prioritize, multi-task and meet deadlines
  • Exceptional written and oral communication skills
  • Exceptional interpersonal skills including a service-oriented perspective with internal and external clients
  • Capable of remaining calm and effective under pressure
  • Ability to deal with confidential matters and act with discretion
  • Strong attention to detail
  • Willingness to work in an office setting where collaboration among staff, at times beyond the job description, is necessary and valued.

Association

  • Is routinely in contact with donors, alumni, volunteers, current students, parents, staff and faculty and board members
  • Maintains working relationships with all operational areas of the College

Working Conditions

  • This is a full-time position with hours of work normally totaling 37.5 hours per week; however, from time-to-time there can be College events or special projects that will result in irregular or extended hours.
  • This position is located primarily at the High School Campus (1500 Royal St.) but may occasionally require travel to the University Campus (3737 Wascana Parkway).
  • The work is performed primarily in an office environment and in a variety of other areas throughout the College and University. Attention to safety procedures and practices associated with these environments is required.

The salary range for this position is $57,757 – $77,957 annually.
