About the role

Program Assistant (1 temporary full-time position until August 2026)

The Middlesex-London Health Unit has an exciting opportunity for a temporary full-time Program Assistant to work on the Municipal & Community Health Promotion Team in the Family & Community Health division at our Citi Plaza location, London, Ontario.

Under the direction of the Manager, Municipal & Community Health Promotion,

the successful candidate will:

  • Provide administrative support for the Municipal & Community Health Promotion Team.
  • Prepare and disseminate agendas and take minutes for meetings.
  • Schedule appointments and meetings, answer telephones.
  • Maintain existing databases, create databases, e.g., Excel spreadsheets, and run routine reports.
  • Format and prepare key documents, reports, and letters, and handle mail.
  • Order necessary supplies, maintain inventories, resources, mailing lists, and key contacts.
  • Maintain accurate budget documents, reconcile credit card statements, and process invoices.
  • Be responsible for filing, record keeping, and document management.
  • Input key statistical information on specific Ministry software programs and provide data entry.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Post-secondary program in administrative studies of at least one year.
  • Strong interpersonal and communication skills in order to provide excellent customer service and work effectively with team members.
  • Skills and experience in supporting teams and managers, including taking initiative.
  • Skills and knowledge to work with an increasingly diverse population, has knowledge of health inequities.
  • Demonstrated ability to prepare comprehensive and accurate meeting minutes.
  • Proficiency in computer applications, including Microsoft Office Suite (i.e., Word, Excel, SharePoint).
  • Experience and expertise with Ministry databases (i.e., ISCIS) and electronic medical records (i.e., Profile) are considered an asset.
  • Ability to take initiative, prioritize work, and balance competing work demands.
  • Demonstrated commitment to contributing to a positive workplace environment.
  • Ability to work flexible hours.
  • Communication proficiency (written and verbal) in French and/or any other language is considered an asset.

The hourly rate for this position ranges from $25.13 - $31.45 based on qualifications and experience.
