About the role
Duties:
-
Checks all the offices are under lock and key and client files are secured in the filing cabinet. Answers telephone and take messages (reception duties), assists clients with contacting relatives and families. Distributes client’s mail.

Reports to the Operation Manager and works with Counsellors to ensure the smooth operation of the Centre, which includes responding to emergency situations, clients’ medical needs and injuries.
-
Admission of RAP and CITY clients, photocopies documents, shows clients to their room and issues linens and room keys.
-
Provides clients with center-specific information through a tour. Provides orientation on emergency procedures, house rules, use of washrooms, laundry and telephone procedures.

Assist clients with addressing their various needs
-
Admits and discharges both GARS and City clients, updates the Shelter Management Information System (SMIS) as required.
-
Provides interpretation services, as required.

Preparation and submission of shift report, and communication with all center staff using the logbook
-
Performs housekeeping duties including setting up of rooms, serving meals, maintaining cleanliness of Admin Office and entrance area and ensuring garbage is removed.

Maintains the cleanliness of the entrance, front yard, common areas and main office.

Provides cleaning products and garbage bags to clients, as and when needed
-
Responsible for the safety of the residents and the security of the building including implementation of house rules.

Serve meals and dispense refreshments during mealtime and breaks. Assists the housekeeper with loading the dishwasher.

Identifies and ensures minor maintenance problems are resolved.
-
Communicates in a timely and professional manner with the GM, Operations and Program Manager regarding any client concerns.

Performs safety checks of the premises and safety equipment and records information.
-
Performs administrative tasks, as required (e.g. replenishing client forms, creating client files, welcome packages, distribution of client mail, answering phone calls, etc.).
Qualifications:

Social Services Worker Diploma or equivalent with relevant practicum experience.
-
Knowledge of the Resettlement Assistance Program.
-
Sensitivity to and awareness of the needs of refugees and other newcomers.
-
Food handling experience and a certificate are assets.
-
Demonstrated ability with supportive counselling/crisis management.
-
Ability to work independently.
-
Demonstrated verbal and written proficiency in English.
-
Ability to communicate in any of the following languages would be an asset: French, Amharic, Arabic, Dari, Farsi, Spanish, and Tigrinya.
