Normal Work Schedule: Full-time – 35 hours per week; Monday to Friday.

Purpose:
Reporting to the Associate CAO, IT Services and Transformation, the IT Systems Analyst is responsible for the reliability, security, and continuity of Victoria University’s Windows server and core services environment. The incumbent installs, configures, and maintains servers and related services, administers backups and disaster recovery (including periodic restore testing), implements OS and security patching, monitors system health and capacity, and contributes to incident/problem management. The role also provides Tier 2/3 escalation support to Client Services.

The position provides Tier 2/3 support services to students, staff and faculty with technical problems and information technology issues involving desktop, laptop or network services who are on-site or from employees using network remote access. Provides timely resolution of problems or escalation on behalf of the customer to appropriate technical personnel.

The position assists with the maintenance of switches and equipment in the Communication rooms, including housekeeping, and provides assistance with diagnostics of wiring and with documentation of the infrastructure.

Qualifications Required:
Education

Bachelor’s degree computer science, engineering or related field or equivalent combination of education and experience.

Experience

Minimum three (3) years of prior IT experience working within a tiered support organization model providing direct support to customers in the areas of office productivity software (including Microsoft Office Suite), hardware, peripherals (printers, scanners, photocopiers, fax, all-in-one devices), latest supported versions of operating systems (Windows, LINUX, UNIX, MAC OS, Android, iOS), database systems, and networking technologies in a Microsoft Windows networked environment. Experience managing Windows based computers in an Active Directory environment and a good understanding of network connectivity and networking tools and concepts. Experience with access management, IT security, AV, and web maintenance. Experience in preparing documentation for new and existing systems enhancements. Knowledge of networking protocols including SMTP, DNS, DHCP, TCP/IP, UDP, ARP, FTP, HTTP, and SSH.

Ability to work in an environment with frequent interruptions. Ability to work effectively independently and as part of a team. Ability to communicate effectively and accurately both orally and in writing, including the ability to communicate technical concepts to persons with limited technical backgrounds. Create and maintain website templates and database templates.

DUTIES

50% Infrastructure Operations and Security

  • Provides connectivity to residence students in order to enhance the student experience.
  • Assists with the development of information software for staff, students, faculty and visitors to protect from security threats inclusive of training clients in the use of applications and computer systems.
  • Assists with testing of network software and hardware configurations.
  • The Technician performs wiring and data cable terminations.
  • Assists users by providing software and hardware solutions leveraging Microsoft Intune where possible, installing, maintaining and upgrading computer hardware, application software, system software, peripherals, network and local printers, handheld devices and configuring network functionality. Provides connectivity support to conference guests and visitors using the Victoria University network.
  • Assists with the testing of network performance and security. Assists with preventive network hardware and software maintenance.
  • Assists with the creation of documentation used for the wiring and data cabling projects performed by contractors.
  • Attends U of T IT meetings relating to new systems, devices, architecture changes, and upgrades.
  • Provides technical support for tablet and mobile devices purchased by Victoria University.
  • Recommends and implements plans for systems expansions as needed (independently and in collaboration with various vendors).
  • Install, configure and maintain Vic’s virtual and physical Windows servers and develops documentation for best ways for configuring and maintaining Windows servers environment (both Physical and Virtual)
  • Take a leading role in planning, implementing, and improving Vic’s infrastructure; including network, servers, and storage.
  • Take a leading role in implementing security procedures for networks, servers, and staff computers. This includes configuring firewalls, implementing endpoint detection and Response solutions, installing SSL certificates, monitoring systems and examining logs, deploying patches and updates, as well as enforcing password policy and Group Policy Objects (GPOs).
  • Recommend security policies for Vic’s network and servers and ensures that those policies are implemented properly.
  • Take a lead role in developing and managing Vic’s networked environment, including AD, DHCP, DNS, third-party tools as well as file services.
  • Responsible for designing, developing, and maintaining Vic’s backup and disaster recovery systems. As well as researching and recommending such systems to IT manager.
  • Establishes efficient procedures for operating system and applications deployment (in collaboration with members of the IT department); as well as support IT staff in deployment of workstations and other computer and network peripherals (such as printers and MFPs).
  • Collaborates with members of the IT department to ensure that Vic’s virtual and physical Windows servers are functioning properly.
  • Document procedures and configurations needed for maintaining and recovering systems that are within scope of responsibility.
  • Work with members of the IT department to maintain efficient reporting, using log files and other data, to improve up-time and efficiency of web applications.
  • Take part in building and monitoring systems that collect and analyze log files from various Vic servers for auditing and troubleshooting purposes.

35% Client Support and Technical Services

  • Performs the diagnosis of workstation issues on staff and faculty computers and affects minor repairs to computers and peripherals; refers to vendor for service as appropriate. This includes tracing infected student computers and assisting students with the removal of the virus.
  • Records and manages client incidents using an IT solution management system, supports client through problem resolution process, escalates problems to a higher level as required, keeps the client apprised on the status of the issue and following up until the matter is resolved to the satisfaction of the client.
  • Provides step-by-step instructions in a courteous and professional manner via phone, e-mail and in person.
  • Uses remote control and incident management system to quickly evaluate, resolve and document problems over the phone to minimize call escalations and resolve issues in a timely manner.
  • Participates as an active team member on assigned IT special projects and rollouts and may provide technical coverage during non-business hours and under special circumstances.
  • Answers telephone and email queries from staff, students and faculty, tracks queries and follows up on outstanding items.
  • Assists with the administration of student internet accounts.
  • Assists with the documentation and verification of PC/server/network inventory and provides accurate recording of equipment and material for maintenance and installation projects.
  • Trains users in the use of new software and hardware.
  • Develop, document and implement technical support operating procedures inclusive of assisting in the writing of technical knowledge base and training guidelines to support the Victoria University community.
  • Deploys, installs and rolls out personal computers, printers, peripherals and mobile devices for all new clients, employees and contractors/consultants.

10% Audio Visual Back-up

  • Provides back up support to the Audio Visual Technician as required.

5% Administrative and Communication Room Maintenance duties

  • Reports regularly on the status of existing active projects; participates in regularly scheduled status meetings.
  • Contributes to the preparation of reports of group activities on a monthly basis.
  • Performs a thorough cleaning of the Victoria Campus Communication rooms quarterly.
  • Other duties as assigned.
