Position Summary:
This position is responsible for providing ongoing support to the People function in North America and delivery of core processes and services with a focus on the overall employee experience. This will include supporting the employee population with general HR queries and services and administering People and Experience programs.
This is a 6 month contract position.
Key Responsibilities:
- Monitor the Case Management Tool for incoming queries, providing prompt and professional support to all employees and managers, escalating complex inquiries to appropriate COE for resolution.
- Manage the timely and accurate processing of employee changes into Workday, including new hires, job changes, terminations, compensation changes and status changes.
- Support recruitment activities including creating job requisitions for open roles and completing background checks while ensuring a positive candidate experience.
- Support the onboarding process by guiding new hires & managers through the process, answering questions as they arise, managing the notifications to the IT department through Service Now, ensuring employee changes are communicated to wider Company and tracking completion of required onboarding tasks.
- Support the offboarding process, including sending separation documents to leavers, coordinating termination payments through to payroll, initiating outplacement when applicable, responding to related questions and ensuring timely notifications are made to the IT department through Service Now to retrieve equipment and cancel all access.
- Reviewing and updating organizational charts on a regular basis.
- Support temporary and contingent personnel through by reviewing and monitoring all temporary end dates within Workday.
- Administer Tuition Reimbursement and tracking learning and training completion.
- Handle end-to-end invoice payment procedures and purchase orders for the People & Experience team.
- Support convivial practices including coordinating Admin Day for NA and the Holiday Gift program for the local Windsor site.
- Maintain up to date and compliant employment records and files.
- Create and maintain in-house procedures, administrative manuals, and knowledge base articles as well as employee & manager facing quick reference guides.
- Ensure employee processes and practices are in compliance with audit and governance requirements.
- Other administrative duties for the local Windsor HR team include procurement of office supplies and arranging gifts for significant life events.
- Participate on special project teams as required.
Required Skills & Abilities
- Basic understanding of Recruiting and HR concepts, policies and procedures.
- Excellent interpersonal and communication skills.
- Ability to work well both independently and as a member of a team.
- Ability to prioritize and manage competing demands in a dynamic environment with a high level of attention to detail.
- Strong customer service orientation with a proactive and positive attitude while upholding confidentiality and managing sensitive information with tact.
- Proficiency in Microsoft Office Suite, particularly Outlook, Word and Excel and the ability to learn additional programs as needed.
Education/Experience:
Education Preferred: Bachelor Degree – Business Commerce (Human Resources).
Education Required: HR or Business Diploma.
Experience Required: 1-2 years of relevant experience in HR administration, shared services or a similar role.
Financial Responsibility: May track or report data and handle administrative tasks.
