Executive Assistant, Corporate (Contract) $32-39 per hour 3 Month Contract - ASAP start Onsite | Vancouver, BC
Your New Company Hays Specialist Recruitment is partnering with a leading global natural resources organization to hire an Executive Assistant, Corporate to support their Legal & Compliance function. This organization operates large-scale operations internationally and is recognized for its commitment to responsible development, sustainability, and strong governance practices.
Key Responsibilities Provide high-level administrative support to the VP, General Counsel & Corporate Secretary Manage complex calendars, scheduling, travel, and logistics aligned with business priorities Prepare and format executive correspondence, presentations, briefing materials, and reports Triage incoming communications and prioritize time-sensitive and confidential matters Liaise with executives, Board members, and external stakeholders Support daily operations of the Legal & Compliance team Maintain legal trackers, contract databases, and regulatory calendars Coordinate document execution, approvals, and signature workflows Track legal deadlines, governance milestones, and compliance requirements Assist with document management, retention, and legal hold processes Assist with preparation of Board and Committee materials Coordinate agendas, resolutions, and meeting documentation Maintain corporate records, minute books, and governance files Support director onboarding and governance compliance processes Coordinate with external legal counsel on scheduling, documentation, and billing Assist with litigation tracking, regulatory inquiries, and audits Track deliverables and action items from executive and legal meetings
What You Need to Succeed 10+ years of experience in executive support, legal administration, or corporate environments Experience supporting senior executives such as General Counsel or leadership teams (preferred) Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Experience with document management systems (e.g., SharePoint) and secure platforms Familiarity with corporate governance, legal processes, or board support activities is an asset Strong organizational skills with the ability to manage multiple priorities independently Exceptional attention to detail and follow-through Proven ability to handle highly confidential and sensitive information with discretion Excellent communication skills with the ability to engage senior leaders and external stakeholders Experience working in multinational or global environments is considered an asset Flexibility to accommodate occasional extended hours for international coordination
