Job Details: Position Title: Program Support Officer Status: Appendix D Hours: 37.5 hours per week Faculty/Department: Faculty of Liberal Arts and Sciences Campus/Location: North and Lakeshore (This is a hybrid position – the successful applicant must be comfortable working on campus at minimum four (4) days per week.) Salary: Payband G, Salary Range: $34.60 - $39.93, Starting Salary: $34.60 Progression through the payband is in accordance with the increments in the payband as outline in the Full-Time Support Staff Collective Agreement based on actual service in the payband. About the Program Support Officer Role: The incumbent will provide direct support to Academic Leadership in the Faculty of Liberal Arts & Sciences while providing a comprehensive range of support services to the students, professors, program coordinators (PCs), external stakeholders, in ther assigned cluster of programming. Responsibilities include but are not limited to: administrative, program, financial, human resources, student, marketing, and inter-departmental support. The incumbent also acts as a resource to students, professors, PCs, and administrators on the application of the College’s academic policies and procedures. It is expected that the incumbent, therefore, will continue to develop opportunities that directly impact the learning environment. The volume and diversity of students encountered enhances the customer service requirements of this role. Duties and Responsibilities Include: Process curriculum changes, ensuring forms, ministry compliance and adherence to deadlines. Support Program Advisory Committees by coordinating logistics, maintaining membership records, preparing correspondence and tracking/taking minutes and agendas. Provide administration support for annual program review and renewal activities, including program mapping, course outlines, calendar reviews and Faculty guides. Collect and verify documentation such as scholarship and award nomination forms, signed SWFs, PEQAB materials and sample student work Support Academic Leadership with program events, including Open House, Information Nights and Orientation. Support Academic Leadership with program services, evaluations and departmental initiatives. Respond to stakeholder inquiries and collaborate with support across the Faculty. Analyze and improve service delivery and internal processes; implement process enhancements as directed. Participate in program and cross-college committees as required. Process and track facilities work orders to completion. Process purchases in accordance with Humber Finance policies and ensure compliance with purchasing procedures. Manage Banner Finance activities, including requisitions, purchase orders, receiving, transaction tracking and follow-up. Maintain and update ARPM spreadsheets for enrolment planning, staffing and reporting. Prepare, collect and process contracts for part-time employees (faculty, administrators, support staff, work-study). Process HR information updates, including payments, status changes, leaves, credential changes and ensure required documentation is collected per HR policies. Support onboarding processes and troubleshoot when required.

If this sounds like you, keep reading: Education The successful candidate will have a minimum of a three (3) year diploma/degree or equivalent in a related area such as business, communications, entrepreneurship, finance, human resources, information systems, marketing and any other related fields of study. Experience/Skills Minimum three (3) years progressive administrative or student advising experience in a post-secondary environment Experience with compiling and analyzing research-based data from various sources, producing reports and identifying trends from data to develop solutions and strategies. Experience with proof reading communications. Experience with a variety of communication platforms. Experience with advising students on courses and programs selection. Experience with supporting curriculum planning, and academic program delivery. Experience in interpreting policies and procedures. Experience with special events. Experience with Microsoft Office (Word, Excel, Outlook, Access, and PowerPoint), and Adobe Acrobat. Excellent time management and multitasking skills. Proven ability to work independently on assigned tasks with minimum supervision. Excellent interpersonal skills with an ability to work in a team environment. Ability to use office equipment – phone, photocopier, printer, fax and troubleshoot technical minor problems. Proven excellent verbal and written communications skills.
