The Position

RFRK is seeking an experienced project manager to lead and deliver cross-functional initiatives that advance our operational and strategic priorities. This is a hands-on delivery role, not an entry-level or PMO leadership position.

The role will independently manage concurrent projects, while also playing a key role in introducing, standardizing, and embedding project management tools and practices across the organization. While this role sits within the Technology & Systems department, the projects are enterprise-wide and operational in nature, spanning Operations, Finance, Supply Chain, Customer Experience, Marketing/Sales, and Technology.

This role is well suited to a project manager who has worked in operations-heavy environments (manufacturing, food, logistics, supply chain, or multi-site organizations), is comfortable working across technical and non-technical teams, and enjoys bringing structure and clarity to growing organizations.

Why a project manager at RFRK?

This is a strong opportunity for a Project Manager who enjoys building structure in growing organizations and seeing their work make a real operational impact. RFRK is at a stage where project management discipline is being intentionally introduced and embedded.

You will have:

  • Clear executive sponsorship and decision-making support
  • Real ownership over how project management tools and practices are implemented
  • Exposure to meaningful, cross-functional initiatives tied directly to operations and growth
  • A collaborative, values-driven culture with an emphasis on trust, accountability, and work–life balance
  • A sustainable pace of work, with realistic expectations around delivery and resourcing
  • An impact on the company’s mission to enable and inspire a lifetime of healthy eating for thousands of kids across the GTA.

Key Responsibilities

Project Delivery & Execution

  • Act as Project Manager for concurrent cross-functional projects, owning scope, timelines, dependencies, risks, and delivery outcomes.
  • Partner with project sponsors and stakeholders to clarify objectives, success criteria, and constraints.
  • Develop and maintain project plans, milestones, RAID logs, and communication plans.
  • Facilitate regular project check-ins, decision forums, and retrospectives.
  • Proactively identify risks, bottlenecks, and resourcing gaps, and drive mitigation plans.
  • Ensure projects are delivered with appropriate documentation, handoff, and change management.

Project Management Tools & Standards

  • Own and evolve RFRK’s project management tooling (e.g. Monday.com or equivalent), including structure, training ,templates, workflows, and reporting conventions.
  • Develop and maintain standard project templates (charters, plans, status updates, close-out summaries).
  • Coach project leads and contributors across departments on consistent project practices and expectations.
  • Promote pragmatic, right-sized project discipline appropriate to project scale and complexity.
  • Periodically assess adoption and effectiveness of project tools and standards, and iterate as needed.

Portfolio Visibility & Leadership Reporting

  • Maintain a consolidated view of active cross-departmental initiatives, including status, resourcing, risks, and dependencies.
  • Support leadership with regular project and portfolio-level reporting that enables informed prioritization and decision-making.
  • Highlight interdependencies between projects and operational workloads.
  • Provide early warning on projects at risk due to scope creep, capacity constraints, or unclear ownership.
  • Support quarterly and annual planning cycles by contributing structured project intake, sequencing, and capacity insights.

Cross-Functional Collaboration

  • Work closely with department leads to support effective project ownership, even when the Project Manager is not the assigned PM.
  • Help teams clarify roles, responsibilities, and decision rights within projects.
  • Facilitate alignment between technical, operational, and business stakeholders.
  • Act as a neutral delivery partner focused on outcomes, transparency, and momentum.

Required Education & Experience

  • Bachelor’s degree or equivalent experience in Business, Project Management, Operations, or a related field
  • 3–5 years of experience managing cross-functional projects in a fast-paced environment
  • Demonstrated experience delivering projects involving multiple stakeholders and competing priorities
  • Experience in operations-heavy, manufacturing, logistics, or food-related environments is an asset
  • Formal or informal training in project delivery, process improvement, or change management, or demonstrated commitment to applying best practices in real-world project environments.

Additional Technical Skills

  • Strong working knowledge of project management tools (e.g. Monday.com, Smartsheet, Asana, Jira, or similar)
  • Excellent organizational, facilitation, and written communication skills
  • Ability to translate ambiguity into clear plans and next steps
  • Comfort working with both technical and non-technical stakeholders
  • Practical understanding of change management and user adoption challenges
