Job Summary:
As the first point of contact at Pro-Claim Calgary , you’ll play a key role in Restoring Lives, the Planet, and Communities by creating a welcoming, organized, and professional experience for everyone who walks through our doors or calls our office. Responsibilities:
- Manage a multi-call telephone system with proficiency, ensuring calls are swiftly transferred to the appropriate individuals.
- Extend a warm and professional welcome to all visitors, vendors, job applicants, employees, and others, upholding a high standard of professionalism and courtesy.
- Exercise discretion and confidentiality, especially when dealing with sensitive information or managing interactions with stressful callers.
- Provide general clerical support, including entering job-related data into spreadsheets and databases to maintain organized and accurate records.
- Handle the receipt, posting, sorting, and distribution of mail, both internal and external, ensuring timely communication.
- Process requests for mailing out company information, ensuring relevant and prompt distribution of materials.
- Updating Binders (i.e., incident reports, fleet & warehouse inspections, etc.) and Daily filing of Admin and Accounting documents.
- Operate the credit card machine for transaction processing, demonstrating financial equipment proficiency.
- Assist subcontractors by directing them to the project manager and providing necessary keys, facilitating seamless project coordination.
- Maintain a safe and clean reception area, ensuring a welcoming environment for all.
- Additional key responsibilities include:
- Overseeing the company’s key system to ensure secure and organized access to facilities.
- Entering contacts and data into the company’s project database, aiding in the maintenance of up-to-date and comprehensive records.
- Contributing to office administration tasks, such as ordering supplies, to keep the office well-stocked and operational.
- Assisting with miscellaneous office administration and accounting tasks, offering support across a broad spectrum of operational needs.
- Capable of handling diverse administrative duties, showing initiative in improving administrative processes, and maintaining attention to detail to ensure accuracy in all tasks. A commitment to high-quality support in these areas will be crucial for success in this role.
Requirements:
- Excellent verbal communication and phone skills, capable of conveying information clearly and professionally.
- Demonstrated ability to maintain composure and efficiency in a fast-paced environment, ensuring a calm presence under pressure.
- Strong problem-solving abilities, with a knack for using good judgment to navigate and resolve issues effectively.
- A commitment to handling confidential and highly sensitive material with the utmost discretion and integrity.
- Proven flexibility and adaptability, with the capacity to adjust to changing work environments and tasks.
- A friendly demeanor, coupled with an independent and proactive approach to work, showcasing the ability to take initiative.
- A minimum of 1-2 years of experience in a receptionist or similar role, highlighting a track record of reliability and proficiency.
- Ability to pass a criminal record check to our approval.
Benefits:
After completing your probation period of three months, some of the benefits we offer include:

- Tuition Reimbursement.
- $500.00 per year for each paramedical service we offer (i.e., massage therapy, physiotherapy, chiropractor).
- $750.00 per year for Mental Health-related services, such as clinical psychologists, registered clinical counsellors, etc.
- An additional $500.00 per year for single plans and $1000.00 per year for family plans via our Health Care Spending Account to put towards your extended health and dental benefits.
- Long-Term Disability and Life Insurance.
Compensation
- Salary: $40,000.00 - $55,000.00 per annum (based on experience)
