Job Description

UNIT DESCRIPTION:

DeGroote’s Student Services team supports all students at the DeGroote School of Business – including those in the BCom, MBA, specialized graduate programs, and PhD programs. The Data Integrity Analyst plays a key role in supporting the operational excellence of the Student Services team by ensuring the accuracy, completeness, and security of student data across systems. This role is responsible for analyzing departmental information needs, maintaining data standards, and supporting system functionality to meet evolving student and program requirements. The Analyst works closely with technical and operational staff to proactively identify and resolve data integrity issues, develop quality assurance measures, and support reporting and decision-making processes. This position also contributes to system testing, documentation, and end-user training, helping to ensure that data processes are efficient, reliable, and aligned with institutional goals. The Data Integrity Analyst is a collaborative problem-solver who thrives in a dynamic environment and is committed to enhancing the student experience through data-driven insights and continuous improvement

JOB SUMMARY:

Responsible for administering departmental information technology systems and ensuring system security, functionality and reporting meets the needs of the department. Also responsible for ensuring that data is accurate, complete and clearly defined and end-users are effectively trained, and system processes and procedures are accurately documented.

PURPOSE AND KEY FUNCTIONS:

  • Analyze departmental information needs and functional requirements.
  • Review departmental systems, processes and information, and provide recommendations to stakeholders for improvements.
  • Create and execute test plans and scripts to test new releases of vendor software ensuring results are accurately documented.
  • Scrutinize test results to identify and report defects, bugs, and errors.
  • Identify maintenance and enhancement issues relating to systems design.
  • Obtain quotes for software enhancements and direct software vendor developers when making changes.
  • Coordinate the submission of course information with program managers in order to meet catalogue deadlines.
  • Schedule tasks and timeframes for entry of new course and instructor information.
  • Develop and establish quality assurance measures to ensure accuracy and completeness of data.
  • Ensure data integrity issues are identified and proactively addressed.
  • Formulate and document database standards, processes and procedures for end-users.
  • Control system access permissions and privileges.
  • Respond to inquiries and instruct staff on software related issues.
  • Develop and deliver presentations.
  • Provide training to end-users on systems and related processes.
  • Communicate regularly with technical, applications and operational staff to ensure database integrity and security.
  • Develop queries to create and report systems data.
  • Analyze systems data and recommend changes to conventions for data management and reporting.
  • Investigate and resolve problems with processes involving University information technology systems.
  • Investigate and resolve discrepancies in student records and student accounts due to data processing errors.
  • Participate in the development of change control processes, practices and guidelines for new and modified systems.
  • Search, collect and retrieve market data for environmental scans and market analyses.

SUPERVISION:

  • Provide direction to others in how to carry out work tasks.

ASSETS:

Technical Skills

  • Experience working with student information systems such as PeopleSoft, Banner, or Mosaic.
  • Proficiency in SQL or other query languages fordata extraction and reporting.
  • Familiarity with data visualization tools like Tableau or Power BI.
  • Solid understanding of database management systems and data governance principles.
  • Advanced proficiency in Microsoft 365 applications Analytical & Problem-Solving Skills
  • Strong ability to analyze complex datasets, identify discrepancies, and uncover trends.
  • Experience conducting environmental scans and market analyses to support strategic planning.
  • Proven ability to develop and implement data integrity protocols and quality assurance measures.
  • Skilled in using M365 tools to streamline workflows, manage documentation, and support data-driven decision-making.

Communication & Collaboration

  • Experience delivering training sessions and presentations to technical and non-technical audiences.
  • Ability to translate complex technical concepts into clear, user-friendly documentation.
  • Strong interpersonal skills for collaborating with cross-functional teams, including IT, academic departments, and student services.

Project & Process Management

  • Experience managing change control processes for system updates and enhancements.
  • Ability to coordinate with stakeholders to meet academic and operational deadlines.
  • Familiarity with workflow optimization and process improvement initiatives.
