Laboratory Logistics Coordinator

Location: Toronto-661 University

Department: Logistics

The Role:

To provide coordination services and information to support laboratory operations across the Public Health Ontario Laboratory in Ontario.

Key Responsibilities-

  • Coordinate, track, and inform on laboratory logistics processes and results;
  • Coordinate and continuously improve incoming specimens process;
  • Analyse process and performance within laboratory logistics to identify gaps and recommend solutions;
  • Organize and maintain updated various laboratory logistics spreadsheet using excel;
  • Coordinate laboratory inventory management and maintains supplies;
  • Performs root cause analysis to identify and resolve issues related to Accpac system performance that impacts laboratory operations;
  • Follow-up and expedite purchases for laboratory inventory;
  • Provides analysis of inventory discrepancies due to product data inaccuracies in the system to ensure laboratory product is accurately received into inventory (e.g., product UOM, product changes by vendor, quantity changed, etc.);
  • Serve as primary liaison for logistics department regarding laboratory logistics operations and laboratory end user needs;
  • Supporting and applying biosafety regulations within the logistics processes;
  • Audit biohazard and chemical waste processes to ensure safety and proper disposal and adequate use of safety equipment;
  • Ensure adherence to laboratory standard and practices to maximise safety and operational effectiveness;
  • Plan, coordinate, lead, and participate in various multi-disciplinary teams to achieve objectives associated with logistics and laboratory operations;
  • Liaises with PHO Business Information System Specialist to seek specialized technical support as needed;
  • Coordinates the development and maintenance of laboratory logistics Standard Operating Procedures (SOPs) related to Incoming specimens management, Bio hazardous and chemical waste management, Lab coats services and exchange, Compressed gases and dry ice inventory management and maintenance, Laboratory receiving, and Laboratory inventory management;
  • Facilitates and participates on projects related to the development and implementation of procedures, systems and practices within laboratory logistics department related to Procurement/Finance business processes;
  • Prepare various system related reports and analysis for presentation to the Manager;
  • Other duties as assigned.

Knowledge and Skills-

  • Proficiency in Microsoft Office Suite & PC applications, including MS Word, Excel, Access, Visio, Power Point, and SharePoint;
  • Superior critical thinking, organizational, detail focused, time management, and continuous learning skills;
  • Skills in coaching and training others in logistics laboratory processes related to biosafety regulations and compliance;
  • Mathematical and analytical skills to verify and maintain accurate inventory management records;
  • Flexibility in responding to assignments;
  • Demonstrated excellent records of attendance and punctually.

Education and Experience-

  • Post-secondary education – college or university;
  • CPIM, SCMP, CPSM, or related designation preferred;
  • Biosafety knowledge and experience;
  • 2 years of experience in supply chain coordination/inventory control/production planning/purchasing;

  • Oral communication and consulting skills to provide guidance/information/explanation to other Business Units (Internal Clients/Users) within PHOL Toronto and Regionals in a tactful manner and with discipline of system and process driven ;
  • Ability to work with a diverse laboratory staff and with confidential materials;
  • Ability to work independently, as a team member, and under direct supervision;
  • Excellent oral communication and interpersonal skills for follow up and expediting tasks;
  • Excellent written communication skills to send communication updates related to biosafety standards and regulations (such as TDG), response to other Business Units laboratory inventory inquiry, update SOP and Training documents and preparing reports for the Manager.

Duration: Permanent

Hours of Work: Full time, 36.25 hours per week
