Position Summary:
As the Executive Assistant you will report directly to the CEO and be highly organized and proactive providing strategic and administrative support to our Executive Leadership Team (ELT) and Board of Directors. You will be detail-oriented, possess excellent communication skills, and have the ability to multitask in a fast-paced environment. You will play a key role in ensuring the smooth operation of our Executive and Board office.
You will also provide leadership and guidance to our Administrative Assistant/Receptionist, including guidance for agency meetings and communication. You will plan and coordinate the Annual General Meeting and other special events. You will develop and maintain positive relationships with vendors, partners, funders, colleagues, volunteers, donors, board members, and clients.
Responsibilities:
- Anticipate the needs of the CEO and Executive by proactively identifying priorities, preparing necessary information or materials in advance, and ensuring seamless daily operations
- Prepare and organize documents, reports, and presentations for executive and board meetings
- Screen and prioritize incoming communications, including emails, phone calls, and mail
- Coordinate logistics for meetings and events, including booking venues, arranging catering, and preparing meeting materials; this includes Board meetings
- Manage and maintain executive schedules, including scheduling meetings, appointments and travel arrangements
- Conduct research and compile data as needed for various projects and initiatives
- Provide leadership and guidance to Administrative Assistant
- Provide support in the creation of communication/marketing material including the Annual Report
- Apply Governance knowledge to coordinate board activities, support compliance with bylaws and policies, and support transparent decision-making.
- Be a positive ambassador for the agency
- Maintain confidentiality and handle sensitive information with discretion
- Operate administrative functions within approved budget guidelines
- Organize and maintain electronic filing systems
Qualifications / Skills:
- Bachelor's degree preferred
- Proven experience as an Executive Assistant or similar role
- Experience working in a corporate or executive office environment, including with a Board of Directors
- Experience in the community sector is an asset
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Visio)
- Ability to prioritize tasks and meet deadlines
- Exceptional communication and interpersonal skills
- Discretion and confidentiality
- Ability to work well under pressure and manage sensitive subjects
- Exceptional interpersonal, verbal, and written communication skills, including the ability to deal with difficult situations
- Must provide a clear Criminal Record check
Conditions of Employment:
- This position is located at enCompass Community safety Agency – Transition Place, 4th floor, 10010 105 St NW, Edmonton, AB T5J 1C4
- The hours of work are 8:30 AM – 4:30 PM, Monday – Friday
- Flexible work environment is supported
