This position is responsible for the on-going administrative operations of the TekX program and the Career Technical Centre (CTC) providing confidential senior administrative services to meet the needs of, and collaborate with, the School of Technologies, Applied Arts & Trades, the College, various school districts and SkilledTradesBC.

Specific Duties

  • Act as a primary contact person for the TekX program and the Career Technical Centre at CNC, including for students, parents, school districts, Career Prep coordinators, counsellors, CNC instructors, CNC staff and CNC Regional Campuses.
  • Provide administrative support to the TekX program and the CTC School District 57 coordinator and TekX/CTC instructors by contacting students and parents, preparing materials, and coordinating mailings.
  • Coordinate and assist with interviewing potential TekX and CTC students for program entry.
  • Schedule and co-ordinate appointments and maintain daily calendar for CTC Coordinator.
  • Triage all situations concerning students whether they need to be referred to the program coordinator, the divisional Educational Administrator, another department or faculty. Acknowledge that students and staff can be at all levels of emotional range when they enter the Centre.
  • Prioritize assignments and opportunities effectively, in a complex and fast paced environment.
  • Manage the preparation and distribution of statistical reporting and specific financial reporting; weekly, monthly and bi-annually to College stakeholders, School District 57, SkilledTradesBC, and the BC Ministry of Education
  • Assess, develop, implement and maintain appropriate administration systems to meet the needs of the TekX program and CTC, liaising with staff at both the College and school districts to define and establish workable procedures, including counselling, admissions, enrolment services and computer services.
  • Correspond and liaise with schools regarding programs and student status, including the use of school forms, tracking students through the school system, onboarding system etc.
  • Maintain up-to-date knowledge of College, School District and SkilledTradesBC software systems and policies and procedures.
  • Understand the policies and procedures of the College and the school districts, including practices around admissions and registration, dual credits, transfer of marks, grades and advancement
  • Responsible for registration of students with SkilledTradesBC in appropriate programs for funding purposes.
  • Develop and maintain accurate databases and records, to meet the needs of both the College and the school districts.
  • Assist internal and external clients with accessing TekX and CTC information and services successfully and prepare and deliver information sessions.
  • Reconcile receipts on the Corporate Credit Cards for administrators, as required
  • Organize new student orientations and annual graduations; solicitation of donations and awards, as required.
  • Plan, coordinate and implement appropriate success tracking methods for both students and programs.
  • Maintain student confidentiality, ensuring appropriate waivers are in place;
  • Provide reception duties including front desk and telephone information services; provide general office support for department, including but not limited to, scheduling and managing daily schedules.
  • In collaboration with Marketing & Communications, develop marketing and promotional materials and resources in all formats; maintaining websites and social media
  • Statistical reporting and specific financial reporting as required
  • Assist with student recruitment and liaising with industry.
  • Assit with Administrative duties in relation to PACs; arrange meetings as directed by Associate Deans, compile meeting minutes, processing PAC related paperwork, communication to PACs as directed.
  • Coordinate various trades and technologies events (may include Regional Skills Competition, trades days, CNC open house, program info night, department events, etc.)
  • You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners and communities.
  • You will promote a positive work atmosphere, communicating in a professional manner that demonstrates mutual respect with students and colleagues.
  • Other duties as assigned by Associate Dean or designate.

Skills & Qualifications

  • Recognized two (2) year diploma in Office or Business Management or related field of study

  • 3 years or more experience in a position with similar levels of responsibility, or an equivalent combination of education and experience

  • Excellent interpersonal skills

  • Proven ability to liaise effectively and efficiently between multiple institutions with differing systems, and support the development and maintenance of complementary administrative procedures between the two organizations

  • Demonstrated experience dealing with both youth and mature students

  • Demonstrated knowledge of the trades

  • Demonstrate strong skills in developing, maintaining and working with efficient and effective office procedures and systems

  • Excellent, proven skills in maintaining accurate records

  • Excellent skills in spreadsheet construction and application, database construction and application

  • Proficient in appropriate technological resources including the following areas:

  • Word processing

  • Spreadsheet creation and application

  • Database application

  • Web maintenance

  • E-mail, Internet and Web based research

  • Survey building and interface with student services software

  • Minimum keyboarding speed of 50 nwpm

  • Proven ability to provide accurate, complete and current information on short notice

  • Excellent oral and written communication skills

  • Excellent skills in problem-solving

  • Proven ability to work with a demanding workload, changing priorities, and continuous interruptions and to coordinate activities with other units, both at the College and the School District

  • Proven ability to present information in a public setting

  • Ability to work independently and meet demanding work schedules and deadlines

  • Proven ability to maintain positive working relationships internally and externally

  • Ability to maintain confidentiality and work with discretion, in accordance with privacy laws and with diplomacy and judgement in public, on behalf of the College

  • Ability to work positively in a busy, demanding environment
