We are seeking a highly organized and proactive Office Administrator to support our operations team. This role is essential in maintaining documentation standards, coordinating schedules, and ensuring smooth day-to-day administrative functions. This role will take place on site at our Fabrication Shop.
Duties and Responsibilities:
- Binder creation and maintenance: assemble and update project binders with documentation, drawings, and reports.
- Safety documentation: organize, maintain, and distribute safety manuals, training records, and compliance documents.
- Scheduling coordination: manage and update welders’ schedules, ensuring optimal resource allocation and timely communication.
- Liaise with internal teams and external partners to ensure accurate and timely information flow.
- Greet guests and employees; answer inquiries or redirect when necessary.
- Distribute mail/couriers and arrange outgoing mail/couriers.
- Order and stock office and kitchen supplies.
- Maintain office equipment and schedule service requests when needed.
- Create office memos and informational postings.
- Review and approve or print swag requests to comply with branding.
- Schedule and monitor workspace reservations.
- Organize catering needs upon request.
- Support managers with travel arrangements, expense reports, meeting arrangements, and other clerical duties.
- Other duties and tasks as requested by your supervisor.
Qualifications and Job Requirements:
- Exceptional commitment to client service.
- Ability to deal with highly confidential information; diplomacy, conciliation and discretion are vital in this role.
- Strong organizational skills with the ability to prioritize; the ability to work on multiple projects simultaneously.
- Ability to work with minimal supervision.
- Exceptional and confident verbal and written communication skills.
- Strong attention to detail, active listening, research and problem-solving skills.
- Effective decision-making abilities.
- Exceptional interpersonal skills and demonstrated ability to build effective relationships and work collaborative in a team environment.
- Computer savvy; ability to become proficient with various software applications specific to the company’s needs. Advanced level knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Demonstrates enthusiasm for continuous learning relevant to the role.
