The Research Management Services (RMS) supports researchers throughout the entire research lifecycle, from securing funding to managing projects and evaluating performance. The team provides pre- and post-award support, negotiates research contracts, ensures compliance, and manages internal funding opportunities.
It also leads strategic initiatives such as Knowledge Mobilization, oversees the Research Chairs Programs, and administers the eAwards system. By offering expert advice and data-driven insights, RMS plays a key role in strengthening research capacity and fostering excellence across the institution.
Position purpose:
Reporting to the Director, Sponsored Research Services, leads the planning, organization, execution and continuous improvement of all aspects related to the efficient delivery of research programs in multiple faculties. Translates strategies into program plans and deliverables in support of meeting program objectives (Canada Excellence Research Chairs Program - CERC) while promoting service excellence. Ensures collaboration among, principal investigators, support services and program staff and establishes processes and procedures that optimize resources contributing to the overall success of the implementation of large-scale research programs, and special support services offered by the University of Ottawa.
In this role, your responsibilities will include:
- Program Operations Management: Oversees all ongoing operational activities, including but not limited to overseeing the development and execution of key programmatic priorities, including governance structures, data management strategies, and EDI action plans; leading the Program reporting and knowledge mobilization efforts, fostering collaboration among researchers and external stakeholders and developing and optimal framework in support of core program delivery including administrative and financial functions, resource allocation, monitoring and communication. Coordinates cross-project activities of inter-connected projects within the program scope with the objective of maximizing resources and enhancing communication. Acts as management liaison with other faculties, external stakeholders and services whose contribution is a key input to program success (e.g, finance, and human resources services at the faculty and central level), as well as to ensure effective communication and collaboration on areas of common interest. Oversees activities undertaken as part of special projects within the overall scope of the program.
- Planning: Participates in needs analyses and strategic planning activities by contributing innovative ideas and evidence-based information related to program delivery. Translates global program objectives and needs into short -, medium- and long -term operational plans. Identifies risks to success and implements contingency measures to ensure program continuity.
- Continuous Improvement: Devises key performance indicators and ensures accurate tracking of data for evaluating performance against program objectives. Analyses performance trends and adjusts program elements accordingly. Monitors other institution’s best practices for post-award support (for CERC or other large scale research programs) to introduce innovations into program planning and delivery, and ensures continuous alignment of deliverables with global objectives of the sector while favouring service excellence. Given the ongoing nature of programs, ensures that program deliverables continue to evolve with the evolving needs and requirements of funding agencies.
- Human Resources Management : Supervises operations staff of the program (if relevant). May oversee the work of additional staff assigned to special projects within the scope of the program to ensure alignment with overall program goals. Responsible for recruitment, professional development, performance management and conflict management for the staff under his or her responsibility.
- Program Promotion: Acts as an ambassador for the programs under his/her responsibility, and actively promotes program impact, features and successes. Effectively communicates the link between program objectives and the overall vision of the university, while consistently supporting and upholding the reputation of the institution.
What you will bring:
- Bachelor’s degree in a field related to the core business of the program
- 5 years of related experience in program or project management
- 3 years of experience in supervision
- Strong experience with tri-Agency programs and post-awards requirements for large-scale grants
- Strong experience and understanding of research compliance, grant management (pre and post-award support) and funding workflows, ensuring adherence to regulatory requirements while optimizing financial reporting and research administration
- Hands-on experience with electronic Research Management systems (eRAS) as well as HR and financial systems like eAwards, Workday, eReviews or similar systems
- An understanding of the processes and constraints of academic research and the scientific endeavor, and a knowledge of what motivates scientists is required for this position
- Strong Experience in budget management and planning
- Experience interpreting performance metrics in support of evidence-based decision-making
- Ability to succeed in a high-paced, high demand environment with strict deadlines
- Strong organizational skills to manage multiple elements of ongoing operations
- Ability to simplify and explain rules and regulations
- Ability to motivate a team and to collaborate with multiple stakeholders
- Strong interpersonal and communication skills
- Proven commitment to client satisfaction
- Ability to work outside of normal office hours
- Bilingualism - French and English (spoken and written)
