Career Opportunity
We are currently seeking a Materials and Contract Coordinator to support our Track and Structures team!
Reporting to the Manager of Structure Maintenance the Materials and Contract Coordinator will be responsible for the daily operation of all material and procurement related activities for the Structure Maintenance section. This will include overseeing the entire supply chain management process including the management of materials, equipment, budgets, and appropriate staffing to meet project deadlines. The incumbent will also be responsible for identifying and analyzing new structure maintenance initiatives to determine the materials, service and labour requirements needed, and ensure projects are completed in a timely and cost-effective manner.
What You Will Do
- Manage service/material supply contracts and purchase orders
- Assist senior staff/ Inspection Engineers with the preparation of specifications for the procurement of materials and service contracts
- Review contract documents and suggesting changes to ensure conformance to M&P regulations
- Ensure consistency and uniformity in specification writing, and adhere to Material & Procurement (M&P) rules and policies to prevent unsuccessful contract tenders
- Ensure new contracts, as well as existing contract renewals are initiated on time and in accordance with departmental rules and policies
- Implement and maintain an administrative system for the management of contracts, purchase orders, invoices, and technical specifications
- Keep up to date on policy/procedure changes that may impact the timely award of contracts
- Identify needs, technology, space requirements, equipment requirements and services; and provide cost estimate and implementation plans
- Coordinate the timely delivery of materials and services in accordance with section projects
- Forecast future material needs, plan inventory levels and establish safety stock to ensure that adequate stock levels are maintained
- Identify and analyze slow moving and obsolete material, and take appropriate action
- Prepare budgetary requirements by determining quantities, labour hours and costs
- Investigate and report on cost variances, and provide recommendations

What Qualifications Do You Bring

Your education will consist of a University or College Degree in Business Administration or the equivalent combined with several years of directly related work experience

Your application will reveal sound knowledge of materials procurement management and materials handling principles

Knowledge of methods and practices relating to the ordering, receiving, issuing, storing and management of equipment and materials
-
Your experience will consist of advanced budgeting principles with proficiency in applying the same to the operations of materials management
-
Familiarity with engineering design disciplines, and construction related practices, codes, standards, regulations and project management concepts
-
Familiarity with union and trade agreements contracts is considered an asset
-
Sound judgement; strong organizational, interpersonal, problem-solving skills, oral and written communication skills, combined with the ability to manage change effectively

Proficient in the use of computer software and applications (e.g. Excel, Word, Outlook, etc.)

Must have of rapidly acquire a comprehensive knowledge of the Ontario Human rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employee.

Must have a valid, non-probationary, Province of Ontario, class "G" driver's license and may be required to use own vehicle in order to travel to various work locations
