Compensation: $18.00 - $20 hourly rate

We are currently seeking a reliable and customer-focused Part-Time Receptionist to support our operations during evenings and weekends. This role is ideal for someone who enjoys interacting with people, thrives in a fast-paced setting, and can provide a welcoming and professional first impression during peak and after-hours periods.

Position Duties & Responsibilities

  • Customer Service & Front Desk Management
  • Greet and assist customers as they enter the dealership, ensuring a welcoming and professional first impression.
  • Answer incoming calls, direct them to the appropriate department or personnel, and provide general information as needed.
  • Maintain a professional appearance and friendly demeanor to create a positive customer experience.
  • Assist customers with inquiries and direct them to the appropriate team members based on dealership workflow.

Telephone & Communication Management

  • Operate the dealership’s phone system, including programming extensions, managing call routing, and assisting employees with phone functions.
  • Manage the dealership’s message and paging system, including paging staff as needed and ensuring effective internal communication.

Administrative Support

  • Handle and distribute incoming faxes, ensure proper routing, and contact unsolicited fax advertisers for removal from broadcast lists.
  • Prepare outgoing mail and maintain the postage meter.
  • Assist the sales department by posting receipts for vehicle deposits and sales.
  • Forward copies of invoices to extended warranty or leasing companies.
  • Maintain an organized and clean work environment, including overseeing office equipment such as photocopiers and fax machines.

Dealership Operations Support

  • Provide administrative support to the head office, including faxing invoices and submitting documents for payment.
  • Perform any additional duties and tasks as needed assigned by the supervisor.

Qualifications

  • Proficiency in Microsoft Office (Word, Excel) is required. Experience with CDK automotive software is a plus.
  • Previous receptionist experience is considered an asset.
  • Availability to work evenings and weekends is required

Skills, Knowledge and Abilities Required

  • Strong customer service skills with the ability to greet and assist visitors in a courteous and professional manner.
  • Friendly and professional demeanor, maintaining a polished appearance as the first point of contact at the dealership.
  • Effective communication skills to engage with customers, identify their needs, and direct them to the appropriate department.
  • Proficiency in proper telephone etiquette and call-handling techniques.
  • Ability to answer customer inquiries over the phone or efficiently transfer calls to the appropriate team member or department.
  • Familiarity with the dealership’s structure to ensure accurate call and customer redirection.
  • Strong written communication skills for clear and accurate documentation.
  • Organizational skills to manage paperwork and maintain filing systems in accordance with dealership procedures.
  • Competency in operating office equipment, including fax machines and word processing software.
