Nature of the work
The principal and customary work of an employee in this class of employment consists in performing a variety of administrative duties of a complex nature according to established methods and procedures.
Description of tasks
TASKS SPECIFIC TO THIS ROLE
- Participate in the drafting of job descriptions and postings
- Provide information to staff regarding work conditions per the collective agreement
- Draft correspondence related to assigned tasks
- Communicate with individuals within the school board or external parties to obtain or provide information related to assigned tasks, negotiate deadlines, explain standards and regulations, and relay decisions.
- Collect, validate, and compile the necessary data related to employee files
- Verify work history and follow-up on candidate background checks
GENERAL TASKS RELATED TO JOB CLASSIFICATION

Ensure compliance with applicable standards, regulations, directives, policies, methods, and procedures.

Draft, prepare, create, verify, and follow up on invoices, purchase orders, receipts, lists, and various registers such as payroll, absences, leave, taxation, funding requests, statistics, statements, forms, or any other administrative report or document.

Maintain accounting records, enter journal entries, reconcile accounts, process payments, make deposits, code expenses, manage petty cash, and handle certain purchases.

Compile budgetary data, assist in the preparation of a unit or department’s budget, and provide information on budget balances.

Carry out all administrative operations related to aptitude tests and administer exams as per instructions.

May be required to train new office agents (Class I) and coordinate the work of support staff.

Perform any other related tasks as needed.
Desired profile
Schooling
Meet one of the following profiles:

Hold a Diploma of Vocational Studies in an appropriate specialty

Hold a Secondary School Diploma or a diploma or attestation of studies recognized as equivalent by the competent authority.
Experience
Have one (1) year of pertinent experience
Other requirements

Fluent in French and English (written and spoken)

Proficiency with the Microsoft Office Suite, particularly with Excel, Word, SharePoint, and Teams, as well as the Google environment
-
Experience in humans resources would be considered and asset.
Have a thorough knowledge of office automation.
