Position Summary: The Assistant Project Manager (APM) supports the Project Manager in maintaining the overall health, safety, and financial performance of the project. The APM assists with the planning, coordination, documentation, and implementation of project activities to ensure successful project execution and completion.

Working closely with the Project Manager and the project team, the APM helps facilitate communication, track project progress, maintain documentation systems, and support the day-to-day coordination of the project.

ASSIST WITH THE CREATION, MANAGEMENT AND IMPLEMENTATION OF:

  • Assist the Project Manager with coordinating the project team to successfully execute project goals while supporting effective collaboration among team members
  • Assist the Project Manager and HSE Officer in the development and implementation of the project-specific safety site plan
  • Assist in maintaining the project schedule and tracking progress against project milestones and deliverables
  • Assist with preparing and maintaining project award lists and tracking associated timelines and deliverables
  • Assist with preparation and submission of Article “E” documentation and coordinate shop drawing submissions and delivery schedules with project team members
  • Assist in maintaining the CRX log and system, ensuring change orders are documented and tracked
  • Maintain the RFI log and system and follow up on outstanding responses as required
  • Assist with maintaining the equipment control log
  • Assist in coordinating and compiling operations and maintenance manuals
  • Assist in maintaining corresponding project schedules and documentation
  • Assist with tracking spare parts lists and salvaged equipment lists
  • Assist with coordinating owner communications, training plans, schedules, and documentation
  • Assist in implementing the project quality control program in accordance with project requirements
  • Assist the Project Manager with the cost control program, including:
  • Reviewing project estimates and supporting margin improvement initiatives
  • Assisting with project forecasts
  • Participating in regular coordination meetings with Project and Trade Superintendents and Foremen
  • Tracking project costs and assisting with monthly reporting
  • Assist with project closeout activities, including substantial completion, total completion, and warranty documentation
  • Assist with compiling and maintaining Lessons Learned documentation for future project improvements
  • Assist in identifying potential issues and coordinating solutions to support project success and efficiency
  • Support the Project Manager in monitoring responsibilities of project coordinators, HSE officers, and site supervisors
  • Monitor delegated work and assist in tracking incoming and outgoing project correspondence
  • Assist in maintaining the CPM schedule and tracking schedule updates
  • Help maintain positive working relationships with subcontractors, suppliers, and vendors
  • Support positive working relationships with workers and any related unions while promoting productivity and quality
  • Assist in monitoring work performed by third-party consultants, contractors, and specialists

TEAM SUPPORT AND COORDINATION:

  • Support the Project Manager in coaching and developing project team members
  • Assist with coordinating staff assignments and workflow requirements
  • Support the planning and coordination of project personnel activities
  • Assist in identifying and communicating project team issues or conflicts to the Project Manager
  • Support the maintenance of project standards and procedures
  • Assist with performance documentation and feedback processes as directed by the Project Manager
  • Support training and development initiatives for project team members

QUALIFICATIONS:

  • Construction-related degree or diploma with 3-5 years of construction experience, or an equivalent combination of technical training and experience
  • Working knowledge of construction processes, scheduling, cost control, safety regulations, and construction drawings
  • Experience supporting project teams with coordination, documentation, and project delivery activities
  • Strong organizational and time management skills with the ability to manage multiple priorities and deadlines
  • Effective communication skills, both verbal and written, with the ability to work with technical staff, consultants, subcontractors, and project stakeholders
  • Problem-solving mindset with the ability to identify issues and assist in developing practical solutions
  • Basic understanding of project financials, including budgets, cost tracking, and change management processes
  • Ability to build and maintain positive working relationships with internal teams, clients, and subcontractors
  • Self-motivated and eager to learn, with the ability to work both independently and collaboratively within a project team
  • Willingness to travel to project sites as required; valid WHMIS and Health & Safety Awareness Training for Workers/Supervisors certificates required
