About the role

Catholic Social Services is currently seeking a full-time 40 hours per week, Program Assistant in EDMONTON to join our Immigration and Settlement Services team. Job Overview

Supporting the delivery of Immigration and Settlement Service’s (ISS) programs. This may include, but is not limited to, data entry, client service/care, connecting with stakeholders, and performing administrative job duties.

Key responsibilities

Keep up to date with ISS’s program(s) and maintain collaborative working relationship with program staff. Handle clients’ files and perform data entry/filing. Assist with statistical compilation of client data. Promptly respond to inquiries from clients, staff, and the public. Assist with administrative duties (i.e., answering phone calls, printing/scanning, mailing, ordering office supplies, preparing and keeping accurate records; etc.). Distribute program evaluations, surveys, and collect client feedback. Participate in staff meetings (e.g., contribute ideas, take meeting minutes), events, and professional development opportunities. Perform other related duties as required (e.g., monitoring at the testing room).

What This Job Requires

Diploma in Office Administration or equivalent. 3 years of experience working in an office setting. Additional relevant certifications or designations considered an asset. Equivalent combinations of education and experience may be considered. Police Information Check including vulnerable sector search, and Intervention Record Check current within six (6) months Police Information Check including vulnerable sector search, Intervention Record Check and/ or summary of driving record are conditions of employment and the financial responsibility of the candidate.

Knowledge

Demonstrated competence with Microsoft Office suite and other Agency computer. applications/databases (i.e., Adobe Acrobat, ShareVision). Strong knowledge of community resources. Knowledge of and effective collaboration with internal and external stakeholders, professionals, and service providers.

Skills

Strong attention to detail and accuracy. Excellent problem solving, critical thinking and appropriate judgment skills. Effective communication skills, both written and verbal. Demonstrates collaboration and interpersonal skills. High level of professionalism, confidentiality and diplomacy. High degree of resourcefulness, flexibility and adaptability. Problem Solving: Demonstrates the ability to break a situation down into smaller pieces to identify key issues. Figures out cause and effect relationships in order to solve a problem. Uses logic and analytical methods to come to realistic solutions. Service Orientation: Provides superior support service to people whom we serve, staff and the general public in keeping with the Agency’s Mission and Values. Team Work: Works cooperatively and effectively with others to reach a common goal. Participates actively in group activities fostering a team environment. Time Management: Manages time effectively, assigns specific time slots to activities as per their importance.

The annual salary for this position is $49,402.08 to $ $55,624.32 based on qualifications and experience. We offer flexibility and supportive working environment.
