Summary
The Office Assistant provides a high level of support to all departments and ensures that the Calgary corporate office functions efficiently on a daily basis. This position will appeal to a high performing individual that would like to play a key role in the growth of an emerging fuel supply service company and who loves to juggle a variety of tasks in a fast paced, high energy environment. The position is based in the Calgary corporate office.
Schedule

This position holds normal business hours, with little to no travel expected

We support a hybrid work environment consisting of flexible remote work and some in-person collaboration at our Calgary office
Duties & Responsibilities

Greet guests and manage calls and be a key contact point for employees and suppliers
-
Maintain office services, including managing office and kitchen supplies inventory and ensuring office equipment is operational
-
Support the planning and coordination of corporate meetings and events
-
Process and distribute incoming mail and courier packages sent out, both domestic and international deliveries
-
Coordinate IT equipment for new and existing employees including the set up and management of office and mobile phones as well as computer hardware requests

Assist with invoicing and the processing of expense reports

Provide support as needed with recruiting activities, including sourcing candidates, reviewing applications, conducting phone screens and helping schedule interviews

Support with continuous updating and communication of status reports

Assist other departments with projects as required
Requirements
-
University degree or college diploma, Business Administration, Administrative Office Assistant or Human resources preferred
-
1-2 years of dynamic administrative experience

Advanced skills in MS Outlook, Excel, Word and PowerPoint
-
Welcoming, positive “can-do” attitude
-
Excellent communication skills both verbally and in writing

Ability to be self motivated and work without immediate day-to-day supervision

Demonstrates strong attention to detail

Excellent customer service skills with ability to multitask a variety of projects under pressure and tight deadline
